Position Summary

Currently, Friends of Ruby runs a youth centre out of 489 Queen Street East and a transitional home near Dundas and Sherbourne in Toronto. The Operations Coordinator assists the Operations Supervisor by coordinating the security, safety, maintenance and operation of the centre and home for staff, participants, and occupants.

The role works closely with the Operations Supervisor and management in maintaining a safe and effective physical work environment, including, liaising with maintenance and vendors, ensuring the smooth operation of facilities and making sure all staff have the resources they need to perform their functions in support of the mission of Friends of Ruby.


Duties and responsibilities

  • Work closely with leadership across the organization to facilitate day to day operations tasks.
  • Assist with communication to service providers, vendors, and maintenance contractors to receive updates on schedule repairs, servicing, preventive maintenance, and other projects required to keep the organization’s physical assets running smoothly.
  • Assist with supervision of cleaners, and other contracted vendors.
  • Oversee the asset inventory and general supplies for the operation of the facilities.
  • Participate as required in health & safety meetings and monitor safety compliance within the organization.
  • Provide a wide variety of administrative tasks as required.
  • Manage procurement requests, and place orders.
  • Create, and deliver routine reports.
  • Assist with donations logistics, and storage.
  • First point of contact for all staff regarding IT concerns: Troubleshooting, and liaising with external IT vendor.
  • Oversees the laptop setup by IT vendor
  • Provide support to the HR department in tasks related to on-boarding and off-boarding (email set-up/email closure/account re-direction).
  • Ad hoc duties as required.


Qualifications and Experiences

  • 1-2 years of experience working in business operations, facility maintenance, and administration.
  • 1 year experience of experience working for non-for-profit is considered an asset.
  • Joint Health and Safety Committee (JHSC) Certification is considered an asset
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, SharePoint, Microsoft Teams)
  • Critical thinking and problem-solving skills including providing recommendations and feedback to resolve emergencies
  • Strong attention to detail, time management, and organization skills with the ability to effectively multi-tasks, meet deadlines and adapt to changing priorities with ease


Additional Requirements

  • Satisfactory clearance under the Vulnerable Sector Police Check Program
  • Must be qualified to legally work in Canada
  • Ability to work outside working hours in emergencies
  • Ability to travel to other community-based settings as needed
  • Valid Ontario Class G Driver’s License
  • Ability to travel between different sites
  • Ability to work onsite Monday to Friday
