Organization Background: Dress for Success Oregon (DFSO) is a workforce development nonprofit organization that focuses exclusively on the needs of women and gender expansive individuals in the greater Portland area. Our mission is to empower women and gender expansive individuals to achieve economic independence by providing a network of support, professional attire, and the development tools to help them thrive in work and in life. In addition to providing professional attire, DFSO’s services include job search assistance, job retention tools, career development support, and career exploration.

Scope of Responsibility: DFSO is seeking a skilled, motivated, organized, and detail-oriented individual, with a commitment to racial and economic justice, to lead our operations and finances. Under the direct supervision of the Executive Director, this position manages the day-to-day operations of the accounting, business, administrative, and human resources of DFSO. The Operations & Finance Manager is responsible for managing DFSO’s budget and accounting, and generates and tracks budgets both for internal purposes and outside funders. This person will be a point of contact for external partners and managing the flow of information and project details internally, including administrative and operations duties. This is a full time position based out of our Portland office.

Description of Duties: Regular responsibilities include, but are not limited to:

Develops and monitors the DFSO’s budget, cash flow, and financial plans, manages the external bookkeeper and oversees annual tax return filing, manages contracts with outside vendors, and generally maintains all aspects of DFSO’s finances and financial tracking, reporting, invoicing, etc.

Manages and monitors DFSO’s human resources including staff onboarding, employee paperwork and files, employee benefits, payroll and payroll taxes, employee leave, employee training coordination and all other aspects of DFSO’s human resources.

Recommends and administers policies, procedures and processes in support of DFSO’s goals and operations, in accordance with relevant legal parameters, and implements and monitors compliance with approved policies, procedures and processes.

Manages and maintains DFSO’s administrative and infrastructural needs including but not limited to relationship with the landlord for building maintenance, supply orders and inventory, coordination of scheduling (staff and volunteers), supervision of front desk, and other related responsibilities.

Maintains organizational filing system, cloud and physical files, supervises data collection and management, supervises IT contractor, and ensures staff have the technology and support needed to complete their jobs successfully and efficiently.

Leads and coordinates all reporting and compliance requirements for contracts, grants, government agencies, vendors, and partners.

Qualifications

  • 3+ years working in administration, operations, HR and finance.
  • Demonstrated commitment to social, racial, gender, and economic justice.
  • Extremely detail-oriented self-starter – you pay attention to details and thoroughly check work.
  • Excellent written and verbal communications skills – you practice the rigor needed for concise and clear communications.
  • Outstanding organizational and time management skills and the ability to manage multiple tasks.
  • Experience with technology platforms for a remote staff preferred (Google Drive, Slack, Zoom).
  • Experience with CRMs (ie. Salesforce) and data management.
  • Experience with bookkeeping software (ie. Quickbooks).
  • Ability to use good judgment when communicating with staff and partners.
  •  Able to maintain confidentiality.

Compensation: This is an exempt position with a salary of $55,000 – $62,000 annually commensurate with experience, plus generous benefits including holidays, PTO, and health/dental/vision coverage.
