Job Description

Are you a team player who wants to be a part of an organization that contributes to families and individuals going through transitions?  If so, we invite you to apply as an Office Assistant 2 here at the Multnomah County Department of Community Justice, Court Services.

As an Office Assistant 2, the customer service and administrative support you provide will be critical to the success of our mission to provide conflict resolution and parent information services to support positive connections as families change.

In addition, your work will include:

  • Perform a wide variety of moderately complex office support work including electronic filing, copying, data entry, and gathering and providing information to and from various sources.
  • Create, type and proofread a variety of documents from written, recorded, verbal or computerized sources.
  • Act as receptionist; answer the telephone and assist the public and clients; provide information regarding the assigned area and/or County policies, guidelines and procedures; refer callers to appropriate personnel and take a variety of messages.  
  • Receive, sort and distribute incoming and outgoing correspondence; issue, receive, type and process various applications, permits, subpoenas, and other forms; receive and verify cash payments received in person and in the mail; verify amount received and account number and record in manual and automated files; balance and reconcile cash amounts; maintain and process cash records.
  • Order and maintain office supplies; process personnel, payroll, accounting and purchasing information and documents.
  • Schedule meetings, coordinate staff calendars/schedules, training and conferences; provide administrative support for one or more managers and/or assigned staff.

We are looking to fill Office Assistant 2 positions as they become available. This recruitment will be used to fill various full-time, part-time, temporary and on-call positions throughout the Department of Community Justice and across the  Portland metro area.

Minimum Qualifications/Transferable Skills*:

  • Equivalent to the completion of the twelfth grade
  • Two (2) years of general office support or customer service experience dealing directly with the public
  • Ability to work cooperatively and develop effective working relationships with diverse work groups and the general public, including the ability to deal with stressful and difficult situations
  • Skill in answering questions, providing information, and performing customer services for the public with courtesy and tactfulness
  • Skill in interpreting, communicating, and applying a variety of policies, procedures, guidelines, and methods.
  • Skill in entering data, performing mathematical calculations, and preparing written materials in a timely manner and free of errors
  • Must be able to pass a thorough background investigation, including being fingerprinted on the first day of employment

Preferred Qualifications/Transferable Skills*: You do not need to have the following preferred qualifications/transferable skills to qualify. However, keep in mind we may consider some or all of the following when identifying the most qualified candidates.   • Experience which has included public service, work with service organizations, or administrative experience which includes interacting with and providing instructions to the general public.
  • Administrative, clerical, or customer service experience in a court or legal setting.
  • Experience with Google Workspace (i.e., Docs, Sheets, and Forms), Microsoft Office (i.e., Outlook, Word, Excel) Zoom, Jabber, Content Manager, Ecourt, LEDS, DOC and/or Salesforce
  • Being flexible and able to work directly with others in your team is essential
