SUMMARY OF RESPONSIBILITIES

Located just outside of Seattle, WA, Lake Washington Institute of Technology (LWTech) was founded in 1949, and is the only public institute of technology in Washington State, that provides students with the latest cutting edge skills relevant to today’s workplace. LWTech offers ten applied bachelor’s degrees, more than 40 associate degrees and 93 professional certificates, in 43 areas of study, including STEM-focused programs in Science, Technology, Engineering, and Math. Under the direction of the Executive Director of Foundation, Development and Community Relations, the Events and Marketing Manager collaborates in the development, planning, coordination, implementation, and operation of LWTech Foundation events and marketing materials. For events, this includes the Bright Futures Benefit Event and the Scholarship Reception. For marketing materials, this includes the annual report, social media postings, and developing new marketing materials, such as a newsletter or regular eblasts to donors. This is an exempt, administrative position that reports to the Executive Director of Foundation, Development and Community Relations.

ESSENTIAL FUNCTIONS

• Manage planning and logistics for key fundraising and donor cultivation events including the Bright Futures Benefit Event, Annual Scholarship Reception and Annual Retirees Luncheon.

• Takes lead on the calendaring, planning, preparation, and staffing of in-person and virtual events.

• For in-person events, coordinates and collaborates closely with hosts and/or in-person facilities, AV, and catering as necessary to plan room layouts, arrange catering and oversee audio/visual needs for each event.

• For online events, acts as main point of contact for virtual event platform needs (currently Microsoft Teams), independently creating and hosting meetings and managing controls during events. Proactively stays up to date on virtual event innovations, accessibility, and platforms to ensure delivery of best-in-class virtual and hybrid programming.

• Arranges all logistics and drafts communication for invitations and follow-up; facilitates day-of and participates in activities as possible.

• Initiates planning documents (event flows, contact sheets), invitations and lists, mailings, responses, and guest lists. Closely tracks donor event attendance in donor database and evaluates trends.

• Drafts various event-related invitations, correspondence, materials, and follow-up messages on behalf of Executive Director; coordinates mailings and e-mails.

• Work in collaboration with the Manager and Executive Director to develop lists from donor database and make updates as necessary to ensure accurate and clean record keeping.

• Takes lead on day-of for event execution and manages necessary collateral appropriate to setting: online visuals, nametags, refreshments, etc.

• Implements best practices and offers suggestions for improving processes and activities.

• Manage volunteers at Foundation events as appropriate.

• Develops and plans new events as needed in collaboration with LWTech Foundation staff.

• Manage the Foundation’s Annual Distinguished Alumni Awards Program including but not limited to promoting the program across campus, screening nominations, notifying candidates and coordinating distinguished alumni participation in commencement.

• Set priorities and juggle multiple projects; meet deadlines under pressure and initiate internal/external communications with appropriate persons.

• Work with LWTech Foundation Staff, the Marketing & Communications department, and external vendors (such as graphic designers and printing companies) to produce high quality marketing materials for LWTech Foundation.

• Routinely update key pages on website for LWTech Foundation.

• Consistently publish engaging content – including high-res photos, branded graphics, and video clips – on the official LWTech Foundation social media profiles, with an emphasis on LinkedIn, Facebook, and Instagram that maintains a cohesive, brand-aligned identity.

• Design, write, and create content for boosted social posts and digital advertisements

• Track performance and identify trends across social properties on a monthly basis

• Manage the production of digital content deliverables for both evergreen and seasonal marketing campaigns.

• Execute digital & print marketing assets for use across all marketing channels.

• Works under limited supervision; works independently or as part of a team serving a diverse community.

QUALIFICATIONS

• Minimum of 2 years’ event management and/or marketing experience

• Ability to run videoconferencing software such as Microsoft Teams

• Outstanding written and verbal communication skills; the ability to explain complex information clearly and simply.

• Ability to work in an open and collaborative work environment, both remotely and onsite.

• Persistent follow through and resolution of problems.

• Adaptable and composed when faced with changing needs and priorities.

• Strong competency in taking effective ownership of tasks; ability to evaluate and prioritize workload to manage multiple projects, events, and deadlines.

• Ability to organize and set clear expectations for tasks and deliverables.

• Some proficiency with graphic design software, Canva Pro, Adobe Creative Cloud (Photoshop, InDesign, Illustrator, Premiere). Experience with short-form video editing is a plus.

• Creativity and attention to detail; excellent follow-through and dependability.

• Ability to work with a variety of stakeholders and partners, each with different priorities and needs.

• Ability to work and attend in-person events in the greater Kirkland area, including on evenings and weekends.

• A commitment to equity, inclusion, and social justice.

SUPPLEMENTAL INFORMATION

Compensation & Work Schedule

Salary is $5,463/per month.Typically, office hours are Monday-Friday from 7:30 am to 4:30pm. This position offers some flexibility in hours and hybrid (on-campus and remote) schedule. This is subject to change based on the institution and division requirements. Evening and weekend hours may be required for special events.
