Full-Time Manager, Order Management
Job Description
- Manage 1-3 Order Management Specialists; provide coaching and developing of this staff to promote operational excellence in their work
- Work closely with the sales staff to meet the needs of their customers. Manage the order book of several sales channels to ensure “ship on time and in full” (OTIF) processing and shipping of all orders
- Perform Order Management tasks for a few high-touch clients. This includes order processing and customer communication
- Keep a clean order book and work with Accounting on month-end close activities. Assist the credit department on invoicing/past due issues
- Coordinate with the Planning team on inventory availability and timely shipments
- Liaise with outside vendors (3PL, Ticketing vendors, etc)
- In the spirit of continuous improvement, troubleshoot all processes within Order Management and assist to identify and execute various enhancements to these processes. Promote operational efficiencies through process improvement projects.
- Work with the Production team to ensure factory shipments are placed, packed, picked up, and shipped in a timely fashion
- Assist the sales teams on updating customer portals for new items, updating current items, and general product maintenance
- Work closely with the compliance team to ensure all orders are shipped according to the customer’s expectations/requirements. Investigate and review the dispute process for any chargebacks received
- Ability to review new contracts and updated contracts to ensure the team and 3PL is performing to the customer’s needs
- Assist the EDI team with integrating orders into the ERP through to EDI Invoicing
- Report to the Director of Operations and assist with meeting SLAs and Operational Targets. Provide backup support to team members
WHO YOU ARE
- 5+ year’s experience in Order Management in CPG or similar industry
- Previous experience managing staff
- Experience working with an ERP system, bonus points for Microsoft Dynamics AX experience
- Strong Excel and data analytics skills
- Experience working with customers transacting via EDI as well as API platforms
- Excellent written communication for client communication
- Customer-first mentality regarding order processing and fulfillment
- Outstanding time management skills
- Experience working within a budget and driving efficiencies to reduce overhead costs without sacrificing customer experience
- Upbeat and positive personality! A team player with a can-do attitude who has the ability to work closely with others to resolve issues
- Continuous improvement: must have a mindset that spans people, processes, technologies, and own self
- Proficient in problem-solving, research, and client follow up to both internal and external clients
- BS/BA diploma in management or a relevant field
