Position Summary

Reporting to the EVP, General Counsel, the Legal Operations Manager directly supports the Legal Department in all administrative and operational needs. This position handles specialized projects and support activities related to various legal matters.  Works in partnership with the General Counsel and other Legal team members to maintain an effective daily department workflow.  Provides regular updates and reports on contract statuses and other transactional matters. Independently manages and coordinates special projects. The Legal Operations Manager will work closely with Legal team members and cross-functional partners to manage and run complex projects. The ideal candidate will have an ability to see the big picture and incorporates problem solving, critical thinking and tactical execution into their daily work.

If you enjoy managing a project from start to finish, working with leaders from different parts of the company, and are detail-oriented, this role is for you. Preference is for a full-time position, but depending on the candidate’s skill level, part time may be acceptable. Occasional overtime may be required.

Duties and Responsibilities

  • Manages and executes projects assigned by the General Counsel.
  • Oversees weekly contract management meetings with business leaders, including leading the meeting, taking minutes and ensuring appropriate tracking of deadlines and documentation requirements. Keeps track of contracts from the beginning to the end of the contract review process.  Prepares weekly status reports in Excel.
  • Prepares and edits correspondence, meeting minutes and notes, letters, memos, presentations, and spreadsheets.
  • Coordinates logistics for meetings.
  • Serves as point of contact for managers’ and employees’ questions on contracts processes and updates.
  • Partners with General Counsel and executives to track and report company and departmental legal metrics.
  • Manages corporate governance process and maintains all governance documentation for multiple entities – proactively updating when changes occur.
  • Sets up, organizes, and maintains all client contracts and files in accordance with document management system and company standards.
  • Composes and prepares emails, memos, confidential correspondence, reports, PowerPoint presentations, and other complex documents. Formats, edits, proofs, assembles, and distributes contracts and other documents as required.
  • Creates and maintains spreadsheet files, including use of formulas to calculate metrics.
  • Communicates and interacts appropriately with internal clients to deliver a high level of customer service.
  • Manages calendars and makes travel arrangements. Tracks travel and other expenses and prepares expense reports for timely reimbursement.

Qualifications & Requirements

  • Bachelor’s degree is preferred.
  • At least three years’ project management and executive support experience required; experience in a legal department a plus.
  • Strong Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) skills required, including above average proficiency with Microsoft Word in order to quickly format documents, use outline tools, tables of content, etc. Tech savvy and proficient with technology applications.
  • Above average proficiency with Microsoft Excel in order to independently set up spreadsheets, create formulas, manipulate spreadsheet data, and create reports.
  • Strong organizational skills and attention to detail required. Must have the proven ability to track and manage projects through to completion.
  • Ability to maintain a collaborative, professional, highly responsive, and team-oriented approach to the workplace.
  • Ability to work independently and with a team effectively and efficiently in a fast-paced environment, with an ability to multi-task and prioritize numerous tasks.
  • Ability to maintain confidentiality and discretion.
  • Flexibility to work overtime as needed.
  • Ability to multi-task and maintain calm in a fast paced environment.
