Our team prides itself in providing outstanding care to our patients and clients. We are looking for a dynamic and hardworking Hospital Manager to join our growing team. Education:

  • A Post- Secondary Degree or College Diploma in Business Administration, Accounting, Human Resources, or a related program
  • Maintains membership of the Veterinary Hospital Managers Association

Experience:

  • A minimum of 7 – 10 years of experience as a supervisor or manager in an office environment or operational setting
  • A minimum of 5 years experience in an administrative, human resources, or veterinary medicine position in a veterinary hospital environment.

 

Qualifications:

  • Working knowledge of Human Resources functions, including but not limited to recruiting and staffing, benefits, compensation, employee relations, HR compliance, organizational design, training and development, human resource information systems (H.R.I.S.) and payroll
  • Must be comfortable with current technology, proficient with the following computer environments: Microsoft Office, i.e. Word, Outlook, Excel, and Internet Explorer
  • Flexible to work various shifts, including evenings and weekends
  • Knowledge Cornerstone software, and Visual Basic programming language is considered an asset

Supervisory Responsibilities:

  • Assists the Owner with the daily operations of the Hospital as it relates to supervising, recruitment, interviewing, coaching, mentoring, training, progressive discipline, termination, and the hiring of all department staff to ensure optimal staffing and maximum productivity and service are provided to patients and clients
  • Directly supervises department Supervisors and provides leadership, direction and support to the Supervisors and their department staff members
  • Maintains constant and close communication with the Owner and all department Supervisors and assists when required
  • Reviews schedules for various departments in coordination with the Supervisor
  • Makes rounds through the Hospital daily to meet and greet clients/patients to establish a strong rapport and ensure a smooth workflow throughout the Hospital
  • Schedules, prepares topics, and facilitates monthly general staff meetings to provide training, improve communication and boost morale; arranges for speakers for the monthly staff meetings in collaboration with the Owner
  • Complies with all the requirements of the Health and Safety Program and the legal responsibilities under the Occupational Health & Safety Act, and as per the Health and Safety Handbook and company program
  • Monitors all staff health and safety training and encourages participation and adherence to company health and safety policies, trainings, and other initiatives
  • Chairs monthly staff meetings in collaboration with Owner and Hospital Supervisor

 

General Administrative and Accounting Duties:

  • Reviews and processes bi-weekly Payroll for all Hospital staff; makes necessary adjustments in coordination with all departments, manages compensation, reconciles annual payroll records, collects all staff schedules, inputs, and maintains payroll time clock
  • Advises and maintains records for vacation, personal days benefits, evaluating allocations toward Benefits and making necessary changes as required
  • Maintains knowledge and is responsible for all of the Hospital’s policies and procedures, employee HR and Health & Safety handbooks, job descriptions, performance management documents, etc. and handles all correspondence to staff in collaboration with the Owner
  • Administrates new employees, hire information, bank deposits and payment information using Quickbooks and Cornerstone systems, submitting ROE’s, submits hire reports to CCRA
  • Responsible for administration of all internal IT including functioning and maintenance of telephone systems, computer systems, software (Cornerstone, Slack, etc.), email and internet, as well as functioning of office equipment (printer/scanner/photocopier, fax machine, etc.)
  • Maintains client and Hospital confidence by keeping information confidential and secure
  • Conducts annual audits on all inventory within the Hospital, annually reviews all financial documents and lease agreements for the Hospital, maintains inventory of office supplies, manages the vet store, orders drugs, medication, food and supplies daily, coordinates weekly shipping and receiving details with suppliers, sales representatives, and other vet clinics about urgent medications, backordered items, promotions, etc.
  • Manages purchases, distributes revenue, balances purchases, codes transactions, controls expenditures, reconciliates of bank deposits and daily sheets, monitors invoices, ensures accuracy, inputs monthly payments for Breeders and staff, manages month end and year end reports

 

The successful candidate must have and demonstrate the following:

  • Proven leadership skills with a record of accomplishment in successfully coaching and developing employees
  • Mature disposition and a strong ability to foster positive employee relations by communicating effectively with peers, employees, and management
  • Strong work ethic and a “hands-on”, supportive approach
  • Excellent communication and interpersonal skills, and solid administrative skills with a strong attention to detail
  • Excellent organizational skills with the ability to effectively multi-task under pressure in a high volume, fast paced environment with simultaneous deadlines
  • Excellent problem-solving and conflict resolution skills to resolve day-to-day issues; addresses internal/external client and employee inquiries/requests, adaptability to quickly changing circumstances
  • A calming and caring demeanor when interacting with patients; comfortable and passionate about working with all types of animals, s strong ability to provide empathy, understanding and emotional support to clients
