Full-Time Global Administrative Assistant

About this Role

This is a full-time position that requires proximity to the Greenwood Village Colorado office. The Global Administrative Assistant will work closely with the Global Leadership Team (GLT) during an exciting period of growth. As the Global Administrative Assistant, you will support the Co-CEOs and GLT members in administrative and logistical functions, including scheduling, meeting coordination, organization, and support.  You will also serve as the Board of Directors liaison for the organization and will provide Global Team office support, which involves mail, deliveries, PowerPoint presentations, document production and editing, dashboard preparation and meeting logistics and support.

 

In This Role You Will:

Support to the CEOs

  • Provide general administrative support, which entails scheduling travel, securing required travel documents, managing expenses and executive budget, submitting expense reports, and other duties as required
  • Address all requests with respect and in a timely manner. Leverage the CEOs’ time by ensuring excellent advance preparation and diligent follow-up for all meetings, internally and externally
  • Facilitate the development of the annual strategy scorecard including templates and ensuring scorecard PowerPoint completion and KPI updates
  • Administrative support for One For All (alliance) meetings, as needed

Support to the GLT

  • Provide general administrative support to GLT as needed, which can involve coordinating and scheduling team meetings, planning team-wide events and booking travel
  • Administer GLT documents including minutes and action items

Support to the Board of Directors

  • Manage administration and logistics of the Board of Directors meetings, including scheduling, management of board books, setting up AV systems, minutes recording and follow-up
  • Organize all Board events including supporting planning and logistics for Board member travel
  • Administer Board documents including resolutions, agendas, written consents and certificates

Support to the Organization

  • Answer main phone and info box daily
  • Order food and coordinate deliveries for meetings
  • Run errands including post office, bank, store deliveries as needed
  • Event planning and implementation
  • Preparation of documents, presentations and dashboards
  • The AA is not anticipated to take Department meeting minutes

 

You’ll Excel in This Role if You Have:

  • Advanced computer skills in the use of Microsoft Office 365 programs (Outlook, Microsoft Teams, Word, Excel, and PowerPoint)
  • 2 years administrative support experience or equivalent educational experience
  • Experience dealing with Senior Management
  • Excellent organizational, communication, and interpersonal skills
  • Outstanding written and verbal communication skills
  • A high level of attention to detail, self-motivated, team player with a demonstrated high level of effectiveness and efficiency
  • A high level of discretion in problem solving at the C-Suite level and throughout Water For People, maintaining the highest level of confidentiality
  • Flexibility and ability to multitask and be nimble on occasions where last-minute changes occur

 

Bonus Points If You Have:

  • Notary currently or ability to obtain within 90 days of start (will be funded by Water For People)
  • Spanish language skills
  • Interest and knowledge of NGOs/international development sector a plus

More About This Position:

  • This position is based at the Water For People Headquarters in Greenwood Village, Colorado.
  • Work in the office at least one day a week is required. This position will also require you to attend and support meetings in the Colorado office.
  • Ability to work in an open office environment and to work outside regular business hours to meet with team members located in other time zones
  • This position may be remote when office attendance is not required.

Salary Range:

Anticipated salary range $20 – $25 per hour

Actual salary will be determined based on experience and other job-related factors.
