JOB SUMMARY

The Executive Assistant acts on behalf of the Vice-President in any and all matters which concern the administrative functions of the Administrative Services division. The executive assistant performs complex duties within the vice-president ‘s office and accomplishes all duties necessary to relieve the vice-president of office details and/or routine administrative matters. This position provides confidential, executive-level administrative support to the vice-president and handles a broad scope of confidential information. This is a contracted, exempt management position that reports to the Vice-President Administrative Services of Lake Washington Technical College District 26.

ESSENTIAL FUNCTIONS

• Organize all of the functions of the vice-president ‘s office in an effective and efficient manner consistent with the college philosophy and mission

• Relay assignments and information relating to local, state and federal proposals, public records requests, budgets, and directives to the administrative team as directed

• Assume responsibility for the areas of authority which are delegated to the executive assistant by the vice-president; interpret policies and make decisions as appropriate

• Use the special privileges and advantages accruing to the office of the vice-president for the enhancement of the college

• Coordinate vice-president ‘s meetings with executive cabinet, administrative team and employee groups, councils and committees and prepare agendas and meeting materials

• Plan, direct and coordinate both routine and special events, including meetings and travel

• Attend meetings and conferences as directed

• Inform vice-president of significant items requiring attention

• Receive and screen vice-president ‘s visitors, calls, and mail and establish relative importance; respond appropriately or refer to other departments as appropriate

• Handle inquiries and complaints directed to the vice-president ‘s office and/or coordinate response efforts

• Compose own correspondence and on behalf of the vice-president, exercise appropriate signature authority on administrative matters

• Review incoming correspondence and distribute as appropriate

• Arrange travel; record and process expense reports as appropriate

• Organize office and maintain records in electronic and paper filing systems

• Participate in professional development activities to keep abreast of new and innovative practices and programs

• Establish and maintain effective communication and working relationships with faculty, staff, vice-president s, college foundation, the community, and peers

• Assist the other college administrators as necessary; assume and effectively discharge other duties as assigned

Qualifications

• Associate’s degree required; Bachelor’s degree in business administration or related field strongly preferred

• Five years administrative experience in an executive level setting required

• Ability and commitment to project a professional and positive image for the vice-president ‘s office

• Advanced writing and proofreading skills sufficient to prepare a wide variety of documents with correct spelling, grammar, and punctuation

• Expertise in word processing and spreadsheet applications with speed and accuracy; experience with PowerPoint or other presentation software applications; demonstrated ability and willingness to learn new applications

• Ability to maintain confidentiality required; ability to think critically and exercise mature judgment

• Excellent communication and interpersonal skills; ability to use tact, discretion and courtesy in contacts with all persons who have contact with the college

• The individual best suited to this position will be friendly, flexible, enthusiastic, energetic, possess a good sense of humor, remain calm under pressure, welcome new challenges, seek opportunities to increase knowledge and skills, and enjoy organizing events

• Community and technical college system or State of Washington work experience preferred

Pay, Benefits & Work Schedule

Compensation & Work Schedule

Monthly salary is $2,630. This is a 50% full-time, 20 hours per week position. Typically, work hours are Monday-Friday from 7:30 am to 4:30 pm. Occasional evening and weekend hours may be required.
