The YMCA of Pierce and Kitsap Counties is looking for an Executive Assistant to join our team!

The Executive Assistant supports our President/CEO, the Board of Directors, and assigned Executive staff by providing professional-level administrative support while exercising confidentiality, discretion, and independent judgment.

The ideal candidate will be positive, organized, a specialist in administrative support, and a team player who can efficiently work with all levels of employees.

Responsibilities:

  • Provides professional-level administrative support by managing calendars, tracking and submitting expenses, overseeing files and records, drafting or assisting with correspondence, preparing reports, collecting and analyzing information, preparing presentations for board meetings, and providing office support.
  • Coordinates meetings, retreats, including scheduling, sending reminders, and meeting room set-up when necessary
  • Records meetings discussion and provide meeting minutes for executive meetings and board meetings. Responsible for follow-up based on agenda items discussed and approved at Board meetings and other committee meetings.
  • Coordinates and oversees a variety of Association Office functions and activities such as facilitating monthly engagement sessions, maintaining and ordering supplies and equipment, issuing and tracking building and office keys, and coordinating building maintenance requests.
  • Coordinates event registrations, speaking engagements, special event attendance, and travel accommodations.
  • Plans, coordinates, and participates in various Association Office events, YMCA Program and Center events, and Quarterly Association Council events.
  • Coordinates, supports and/or participates in various YMCA committees.
  • Assist CEO and Executive team in reaching campaign goals through recruiting campaigners, telling the Y story, and raising charitable dollars to fulfill our mission.

Qualifications:

  • Bachelor’s Degree in social services, business, or related field preferred.
  • Three or more years of related experience working supporting executives or administrators, preferably in a non-profit setting.
  • Trustworthy – able to recognize and maintain the confidentiality of sensitive information.
  • Expertise in drafting correspondence, using appropriate composition and accurate typing, grammar, and spelling.

  • Proficient in Microsoft Office (Outlook, Word, Excel, Teams, PowerPoint), Adobe Acrobat, and other standard business software.
  • Flexible by nature with the ability to manage competing priorities; adjust to different working styles; organized with keen attention to detail.
  • Demonstrated ability to use independent judgment and effective time management skills.
  • Excellent verbal and written communication skills and the ability to develop positive working relationships within all levels of the organization, including volunteers and members.
  • Ability to maintain a positive, “can-do” attitude and build solid professional relationships with stakeholders, staff, and community members.
  • Complete online Child Abuse Prevention training on the first day of employment.  Complete other online and in-person training as required.

Starting Rate: $30.32 per hour, depending on experience

Hours: Full Time – 40 hours per week, Hybrid role
