Full-Time Executive Assistant

Job Description

Musicians On Call (MOC) delivers live and recorded music to the bedsides of patients in healthcare facilities. The Executive Assistant (EA) is a full-time, non-exempt position responsible for providing administrative support for the President & CEO. The Executive Assistant role is a  fast-paced position that requires a high level of time management, organization, and people skills, and operates in a high-performing environment This position will, among many other things, coordinate executive tasks, manage calendars, log meeting notes, assist with Board of Directors needs, and provide office management. The Executive Assistant will also work with the Fundraising and Partnerships Departments to execute cultivation and stewardship tasks as well as track talent requests. This position will report to the President & CEO and Executive Vice President (EVP) and will be based out of Nashville, TN. 

 

We are looking for someone who has an exceptional work ethic, is able to work evening and/or weekend hours when needed,  and thrives under pressure.

Responsibilities:

  • Manage calendars including scheduling meetings and arranging travel
  • Prioritize, track and categorize meetings under advisement from the President & CEO, EVP and department heads
  • Research and prepare meeting briefs and background materials on attendees in advance of each meeting 
  • Work closely with the Fundraising and Partnerships Departments to execute cultivation and stewardship tasks as well as track talent requests related to the President & CEO and EVP
  • Capture and log meeting notes in Salesforce, executing proper follow up with appropriate team members 
  • Manage President & CEO’s tasks to ensure deadlines are met
  • Manage materials relating to the Board of Directors and track all related giving
  • Plan quarterly board meetings and oversee the distribution of quarterly board packets
  • Oversee board member onboarding process logistics
  • Serve as the point person for all Nashville office functions, including managing office supplies and utilities accounts
  • Answer the main organization telephone line, relay messages, and greet guests
  • Oversee incoming and outgoing mail as well as review and respond to online inquiries
  • Coordinate team and Board meetings and retreats
  • Provide support for the organization’s in-person events, as well as for third-party events that support MOC
  • Submit monthly expense reports for the President & CEO and EVP

 

Minimum Qualifications Required:

  • Excellent communication skills, both written and verbal, and detail-oriented
  • Proactive self-starter who can set and achieve goals with a passion for and interest in learning more about the nonprofit world
  • Ability to prioritize tasks, meet deadlines, manage several projects simultaneously, and work well under pressure
  • Must be able to work and respond to communications during evenings and weekends when needed

  • Proficiency in Google Workspace 
  • Familiarity with Salesforce and Zoom, and experience with expense management preferred

 

Education/Training:

  • Bachelor’s degree or equivalent experience within nonprofit, music industry, radio, healthcare, or related field(s)
