We are currently seeking a full-time Executive Assistant for our Cross-Cutting Administrative Business Unit. This position will be remote with a preference for location in Philadelphia/Boyertown PA, Katy/Houston TX, Orlando FL, Denver CO, New York NY, or Burlington VT.

Position Description

The Executive Assistant will provide high-level administrative support to the CEO and COO. They will be responsible for managing the schedules and communications of key company executives including prioritizing emails and phone calls, coordinating travel arrangements, and preparing high-level communications for internal and external stakeholders. The ideal candidate will have strong time management skills with attention to detail, with an ability to manage shifting priorities. This role will require extensive PowerPoint experience to prepare strategic slides and pitch desks on behalf of the CEO.

The Executive Assistant position is full-time, hourly, and non-exempt, which is eligible for overtime pay under the provisions of the Fair Labor Standards Act.

Key Responsibilities

  • Provides high-level administrative support and assistance to the CEO, COO, and/or other assigned leadership staff
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff
  • Arranges travel and accommodations for executives
  • Manages the calendar for the CEO
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determine importance, and summarizes and/or distributes contents to appropriate staff
  • Prepares communication templates for CEO/COO use
  • Performs additional duties as assigned by executives
  • Performs other related duties as assigned

Requirements

  • High school diploma required, a college-level degree in business administration or related field preferred
  • 2-4 years of direct experience required
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Proven ability to maintain confidential information
  • Knowledge of office administration and clerical procedures
  • Extremely proficient with Microsoft Office Suite, especially PowerPoint with the ability to learn new or updated software.
Compensation & Benefits

The rate for a well-qualified Executive Assistant is $20.00 – $25.00/hour, considering individual work experience and work location.
