Full-Time Executive Assistant

Job Description

Summary: 

IAB is looking for an exceptional, high-energy Executive Assistant (EA) with experience working in a fast-paced media, entertainment, or digital environment. The EA will serve an integral role in coordinating the activities of senior executives primarily the EVP Member Engagement & Development, the SVP of Marketing & Communications, and support for 2 group Vice Presidents. They will ensure that each executives’ time is utilized optimally and facilitates their communication and exchange of information.

 

Job responsibilities (include but not limited to):

  • Manage calendars and schedules – making, confirming, and changing appointments
  • Scheduling meetings in-person and virtually using zoom or other meeting platform
  • Extensive travel coordination (domestic and international), including making and changing reservations, maintaining travel documents, developing travel itineraries
  • Administrative support, including e-mail correspondence, notetaking, and processing expense reports
  • Materials development including drafting letters, documents and agendas, developing PPT presentations, excel spreadsheets, meeting notes, wrap up presentations
  • Managing trade publications subscriptions document, passwords, and staying ahead of expiration dates
  • Greeting visitors, members, and guests in-person and escorting them to their meeting at the IAB
  • Ordering catering for meetings and events
  • Provide preparatory and on-site support as needed for events, for members and non-members, working with other staff

Requirements and Qualifications:

  • Bachelor’s Degree in English or Communications preferred
  • 5+ years of EA experience in a fast-paced media, entertainment, or digital environment
  • Hardworking and resourceful self-starter that’s confident in problem solving
  • Outstanding written and verbal communication skills, including notetaking
  • Excellent organizational skills, attention to detail, and the ability to coordinate multiple activities and prioritize conflicting demands while meeting deadlines
  • Team player with a positive, dynamic, and professional personality – excellent interpersonal skills and high integrity/responsibility
  • Able to learn new tasks quickly
  • Event management and coordination skills
  • Highly proficient in Microsoft Office suite including Outlook, Apple Software e.g., Keynote, and Google Drive.
  • Exposure to digital media and advertising industries preferred
