Job Description

Position Opening: Event and Project Coordinator – Consultant
Chandler Foundation is seeking an energetic Event and Project Coordinator to drive top priorities, timelines, and processes essential to the strategic development, coordination, and organization of convenings and projects.

Areas of Work

Events and Convenings:  This person will play a critical role in ensuring that of all of our events and convenings – virtual and in-person – are of the highest quality through:

  • Strong organization and coordination of event details and timelines from conceptualization to execution to post-convening follow up
  • Preparing and compiling content for session descriptions, invitations, participant communications, Runs of Shows (event script/plans), PowerPoint slides, and digital promotion
  • Essential logistical support including development of invite lists, coordination of planning and prep calls, event sessions, and follow up activities
  • Drive digital promotion of event and event recording on CF website and social media channels
  • Coordination with caterers, venue teams, AV teams, etc.
  • Technical production on site or online, including prep calls and day of support, as needed
  • Develop session summaries, including social media posts/blogs, and posting of event recordings

Project Coordination and Operations Assistance: This team member will perform program coordination and crucial tasks that support the core functions of the organization, through:

  • Development and coordination of timelines and workflows for various work streams and foundation projects
  • Assist with tracking details and communicating effectively with our organizational network through use of the foundation’s CRM and marketing platform, Insightly, including:
    • Accurate recording and updating contact information using Excel and Insightly
    • Coordinate workflow of data entry and research tasks to ensure timely updates to contact information
    • Segmentation of contacts and running reports to sending e-newsletters and convening invitations
    • Collection of content and entry in to e-newsletters template

Support the overall work of Chandler Foundation and develop a basic understanding of all areas of work

  • Desk research for Chandler Foundation’s program areas
  • Take meeting notes, summarizing and synthesizing information from research and/or meetings
  • Support the overall quality control of Chandler Foundation’s publications and presentations (internal and external)
  • File and organize documents in SharePoint
  • Provide general administrative support

Requirements

  • Education: Bachelor’s Degree, PMP Certification, or equivalent experience
  • Event and/or project coordination experience: Strong ability to collect information, organize projects, and direct work flow for self and others in order to meet deadlines and consistently produce high quality work
  • Excellent written and interpersonal communication skills
  • Independent worker and strong collaborator with focus on team success
  • Experience in communicating and collaborating with people from different backgrounds, experiences, and abilities

Technical Competencies:

  • Microsoft Office Suite applications, including basic level Excel skills, strong PowerPoint design skills
  • Proficiency with project management tools (Wrike, Trello, Asana, etc.)
  • Experience in the technical production of convenings via Zoom or Teams is highly desired
  • Basic to intermediate CRM or database experience (Salesforce, Dynamics, Insightly, etc.)
  • Ability to learn and adapt to new systems and technology quickly

Position Details

  • Hybrid work environment: Required to work in office in Seattle, WA or Arlington, VA 1-2 days per week, remote work other weekdays as long as deliverable deadlines are met
  • Reports to: Operational Excellence Manager
  • Start date: After March 1, 2023
  • Compensation: US$ 23-26 per hour DOE, 40 hours per week; Consultant/Independent Contractor
  • Location: Must be based in Seattle/Tacoma WA or Washington, DC/Arlington, VA areas | Hybrid
