Financial Aid Advisor I

Reports To:  Director of Financial Aid

Job Summary

The Financial Aid Office is looking for a full time Financial Aid Advisor I to join their team.

 

As the Financial Aid Advisor I, you educate students of the different ways they can help finance their education, are an instrumental team member in the dissemination, awarding and maintenance of the scholarship program; as well as other types of aid administration at Hawkeye Community College.

Essential Job Functions

Important responsibilities and duties may include, but are not limited to the following

 

Advising 

  • Counsels students and parents via any mode of communication necessary: person, phone, email, text, chat, etc. and aids them with the completion of any financial aid form requested.
  • Provides information and presents on scholarship and loan options, alternative financing and debt management.
  • Accesses the National Student Loan Database System (NSLDS) to research a student’s cumulative loan debt to determine eligibility.
  • Reads, researches, and interprets all government regulations and requirements to determine student eligibility compliance.

 

Outreach Coordination

  • Communicates frequently with appropriate contacts and serves as liaison with federal and state agencies, financial institutions, campus offices, high school counselors and administrators, and other college/university administrators as needed.
  • Develops and executes a plan aimed at increasing financial aid awareness resulting in an increase in low-income, disadvantaged student participation in post-secondary education; acts as a financial aid liaison for the Financial Aid office with the off-campus centers providing a financial aid outreach to those communities; disseminates financial aid program information to high schools, migrant groups, local agencies and the public.
  • Prepares materials for workshops including applications, workshop handouts and presentation materials. Schedules seminars and workshops; assigns dates, facilities and presenters; assists students and evaluates financial aid applicant results. Creates PowerPoint presentations, videos and handouts for student information (i.e., Experience Hawkeye and Orientation). Gives presentations to small and large groups, and one-on-one via different modes of communication.
  • Develops and implements a financial aid marketing plan for the Financial Aid Outreach Initiative; coordinates publicity materials with the Marketing & Public Relations Office and creates brochures and a multi-media campaign.
  • Assists with monitoring financial aid consumer information.
  • Monitors and reviews the services and activities of the Financial Aid Outreach Program; incorporates changes in legislation, technology, educational trends and community needs into financial aid workshops and presentations.

 

Scholarships Management

  • Sets up, awards and maintains the internal scholarship program.
  • Gathers and evaluates all outside scholarship information received to determine which ones to publish on Scholarship Universe system.
  • Provides students with scholarship counseling.
  • Records and reconciles all sponsorships and scholarships with the Hawkeye Community College Business Office and the Hawkeye Community College Foundation Office.

 

Student Employees Supervision

  • Hires, trains, evaluates, and dismisses student employees as needed by the Financial Aid Office.

 

Customer Services

  • Assists with the training of financial aid customer service staff and coverage of front desk duties.

 

Other

  • Monitors official and unofficial withdrawal reports to determine which students are required to complete a loan exit counseling session.
  • Conducts loan exit counseling sessions in groups and individually. Sends exit counseling materials as needed. Mails exit counseling materials to withdrawn students and updates National Student Loan Database System (NSLDS) as needed.
  • Assists with the development and presentation of the Responsible Borrowing (RBS) Program and student loan delinquency efforts.
  • Assists with the processing of no longer attending forms.
  • Assists with the preparation of one semester financial aid packages including summer.
  • Assists with the review of Financial Aid Satisfactory Academic Progress (SAP) appeals and makes recommendations regarding financial aid reinstatement when necessary.
  • Assists with developing and writing student eligibility procedures in coordination with the Director.
  • Attends appropriate state, federal and institutional training sessions off-campus and virtually throughout the year.
  • Completes all other tasks as assigned.

 

Minimum Qualifications

  • Bachelor’s degree in Business, Finance, Communications, Education, Counseling or a related field and one-year relevant experience; OR a combination of related education and work experience to equal five years.
  • Demonstrated proficiency in the ability to communicate effectively, clearly and concisely, both orally and in writing, in presentations and one-on-one with students and parents.
  • Demonstrated excellent human relations skills.
  • Demonstrated ability to work with a diverse student population.
  • Demonstrated analytical skills to be able to reconcile financial aid funds.
  • Demonstrated ability to learn a variety of computerized office systems to package financial aid, scholarships and process loans.
  • Demonstrated ability to work in an environment that can often be fast paced and work effectively handling multiple priorities, and challenging situations.
  • Ability to work some evenings and weekends may be required (including varied shifts, off hours and off campus).

  • Experience presenting to varied audiences
  • Experience creating marketing materials

 

Working Conditions

Anticipated schedule is:  Monday through Friday.  Some evenings and weekends may be required (including varied shifts, off hours and off campus).

 

Requires skills for succeeding in an office environment, using technology.  Requires good hand-eye coordination including visual acuity to use a keyboard and read technical information; arm, hand and finger dexterity, including ability to grasp.  Work is performed in an office setting.  Sit, stand bend, lift and move regularly during working hours.  During course of the day, interact with students, faculty, staff and public in person by telephone and computer.

 

Employment Status

Full time, nonexempt position opening with a comprehensive benefits program including health, dental, life, and LTD insurance; a Section 125 plan for medical and dependent care expense; holiday, personal, sick, and vacation leave; tuition reimbursement and a choice of retirement programs–IPERS (defined benefit) or TIAA (defined contribution).  Salary will be commensurate with the applicant’s education and experience.
