Full-Time Development Administrative Assistant

Job Description

A Northwest leader in protecting animals since 1967, the Progressive Animal Welfare Society (PAWS) shelters homeless animals, rehabilitates injured and orphaned wildlife, and empowers people to demonstrate compassion and respect for animals in their daily lives.

 

Position Title:   Development Administrative Assistant (40 Hours/Week)

Wage:               $17.00-20.00/hour

 

Purpose Summary:

This position is responsible for providing internal coordination and project support to the Development department. As a member of the PAWS Development team, the Development Administrative Assistant supports PAWS Development activities as needed/directed.

 

Essential Responsibilities:

  • Administrative support to the Development team, most often the Director of Philanthropy, the Associate Director of Philanthropy, the Donor Relations team, and the Major Gifts team.
  • Provide general Development business operations administrative support.
  • Pick up mail from the US Post Office and deliver to PAWS Main Campus in Lynnwood.
  • Open and sort mail, prepare bank deposits, deposit checks.
  • Monitor, track, and report on fundraising success.
  • Track, reconcile, and report on budget and expenses.
  • Proof fundraising materials for campaigns and appeals for grammatical errors, typos, graphic design, and format consistency.
  • Provide project management support to fundraising projects and initiatives to ensure they are kept on schedule and delivered on time in accordance with the production schedule.
  • Support email appeals and other fundraising-related communications by creating templates, proofing donor data, and scheduling emails.
  • Facilitate the Donor Stewardship program, including overseeing the weekly thank you call program.
  • Coordinate the Lifetime Care program, including maintaining program records, communicating with program participants, sending acceptance and annual update correspondence, and coordinating with internal staff teams to ensure that program applications are processed quickly and efficiently.
  • Monitor PAWS’ planned gift notification tool and provide the Major Gifts team with updates on newly committed planned gifts to ensure prompt follow-up, assist in the preparation of acknowledgement letters and other correspondence related to planned gifts.
  • Manage the Kennel and Wildlife Sponsorship programs, including maintaining program records, communicating with existing and prospective donors, assembling, and mailing new sponsor welcome packets, following up with sponsors on annual renewals, and coordinating with internal teams.
  • Organize and schedule meetings, book conference rooms, and take meeting minutes.

 

Other Responsibilities Include: 

  • Perform clerical tasks such as filing, printing, mailing letters, managing, and ordering of supplies.
  • Research prospective donors and enter activity notes into Raiser’s Edge per the request of Development staff.
  • Correspond with and respond to donor inquiries and requests for information by phone, e-mail and postal mail.
  • Assist in the research and creation of proposals for leadership.
  • Assist with special events and giving days as needed.
  • Provide backup gift processing support to the Donor Relations team during times of high volume or staff absence, including opening mail, depositing checks, processing credit card charges, and other data entry activities.
  • Provide excellent customer service to PAWS donors via phone, email, and in-person interactions.
  • May be assigned other related duties as needed.

 

Controls Over Work

The Development Assistant works under the general guidance of the Director of Philanthropy and is expected to pursue the established duties with direct supervision.

 

 

Physical Requirements:

The work requires extended periods of sitting at a desk using a computer, calculator, or other office equipment. Reasonable accommodation may be made to enable individuals to perform the essential functions.

 

 

Requirements:

  • High school graduate or equivalent preferred.
  • Minimum two (2) years of related experience.
  • Preferred experience with donor management software, particularly Raiser’s Edge.
  • Excellent computer skills, proficient with Microsoft Word and Excel computer programs.
  • This is a Hybrid position. You must have the ability to work onsite at our main campus in Lynnwood, WA a minimum of three (3) days per week (more during busy times).
  • Have or be able to obtain a valid Washington driver’s license with no major or repeated minor traffic offenses and auto-insurance with required coverage limits.
  • Must have reliable transportation to perform mail runs 3 times a week.
