JOB SUMMARY:

The Coordinator of Financial Aid manages and coordinates financial aid for assigned programs, such as emergency grants, professional judgements such as re-evaluations, scholarships, work-study, and back-up file processing as determined by the Financial Aid Director. This position also provides customer service and processing support to the financial aid office in general. This is an exempt, professional-technical position that reports to the Director of Financial Aid.

Essential Functions:

• Interpret federal, state and local financial aid, scholarship, workforce and veterans’ programs regulations and make awards in line with established guidelines; ensure compliance with applicable laws and regulations; interpret and monitor compliance issues with all funds to maintain the integrity of college records

• Provide customer service and counsel students on financial, personal, academic and professional-technical problems; make referrals to institution and community resources; serve as an information resource for financial aid, scholarship and veterans’ programs as assigned

• Evaluate student’s financial need; determine and award aid and loan certifications, based on federal, state and institutional regulations and availability of funds; review and verify work for procedural compliance and accuracy; resolve problems and perform adjustments related to student accounts and financial aid payments

• Investigate and resolve financial aid repayments and reporting status; refer accounts to Department of Education or State as necessary; perform reconciliation of funds for assigned programs and monitor fund levels and usage

• Review each financial aid recipient’s academic progress quarterly and determine which students are placed on probation, drop or repayment status; coordinate and communicate with other departments and employees to help further student retention and success

• Develop and deliver student orientation sessions and conduct workshops on student aid programs

• Compile data from a variety of sources and prepare summary reports as directed; use desktop and specialized computer systems to effectively obtain and calculate data as well as create and develop reports; calculate and tabulate data consistent with established formulas; post and balance accounts as required

• Supervise, train, and evaluate assigned staff, develop and monitor in conjunction with staff annual growth/professional development plans; back up other staff as needed

• Provide coverage and support to the financial aid office including performing the work of lower classified positions as necessary and provide evening hours coverage as necessary; lead and assist with training of other financial aid employees

• Ensure areas of responsibility operate within the policies and procedures of the college and applicable governing agencies

• Represent the college at professional and community organization; participate in college system professional conferences and in-service activities

• Assist supervisor and other college administrators as necessary; assume and effectively discharge other duties as assigned

Qualifications

• Bachelor’s degree or higher

• Two or more years direct work experience in financial aid in the WA CTC system preferred; including file review and awarding, scholarships, and working with student loans

• Thorough knowledge of financial aid regulations and electronic processing systems; ability to work accurately and efficiently in numerical analysis required

• Knowledge of Dept. of Education financial aid software systems and Microsoft Office programs; previous experience with the state community and technical college financial aid system preferred

• Excellent customer service skills and verbal and written communication skills

• Ability to provide quality services to students and apply communication techniques to work effectively with students, employees, vendors, other state agencies, contractors and other persons who have contact with the college

• Ability to work effectively within a team office environment and with a high level of multicultural awareness

Pay, Benefits & Work Schedule

Compensation and Work Schedule

Monthly salary is $5,291. This is a full-time, 40 hours per week position. Typically, work hours are Monday-Friday from 7:30 am to 4:30 pm. Occasional evening and weekend hours may be required.
