We are currently hiring for the position of: 

 

COORDINATOR, BRAND & MEDIA 

 

Reporting to the Vice President, Marketing & Communications, this role supports the Brand & Media department, which is composed of seven functional units: Communications, Marketing, Social Media, Web/Digital, Video, Editorial and Graphic Design. This role is the first point of contact for the Vice President, Marketing & Communications and will provide administrative support with primary responsibility for coordinating schedules / meetings, drafting correspondence and meeting notes and providing assistance and support to the larger Brand & Media team.

 

RESPONSIBILITIES:

Including but not limited to:

 

For Vice President, Marketing & Communications

  • Management and accuracy of daily schedules and providing meeting briefs.
  • Drafts and sends correspondence and conducts light research. 
  • Perform general office duties: booking / coordinating meetings, minutes, maintenance of files, couriers, purchase orders and expense reports, all working with department heads.
  • Perform some personal assistant duties as requested. This could include duties like booking personal appointments and managing personal deliveries related to navigating a busy Festival schedule, specifically during Festival.
  • Screen calls, manage flow of information and assist in composing presentations.
  • Provide administrative assistance to other members of the Brand & Media management team as needed (3 director-level management team members).

During Festival

  • Maintain an accurate Festival schedule for the Vice President, with some scheduling assistance for Directors & Senior Managers.
  • Schedule and prepare meetings with external industry and press.
  • Coordinate the needs for any special guests of the Vice President.

 

JOB GRADE & RATE OF PAY:

  • Job Grade 2
  • $26.44/ Hourly

 

CONTRACT DATES OR START DATE:

  • July 25, 2022 to October 21, 2022 

 

MINIMUM REQUIREMENTS:

  • Post-secondary degree / diploma preferred
  • Experience with festivals and / or other cultural organizations preferred
  • Independent self-starter who can work in a team environment and possess strong project management ability with attention to deadlines and detail.
  • Pleasant phone manner and precise memory for names, positions and situations.
  • Communication fluency, organization skills, a keen eye for detail, concise and accurate taking of minutes, and the ability to draft and write correspondence, all with impeccable grammar, spelling and proofreading.
  • Maintain diplomacy and confidentiality while being able to handle emergencies, difficult situations and people professionally and calmly.
  • Strong computer skills particularly with Word, Excel, PowerPoint and the internet.
  • Proven ability to work and respond well in fast-paced environments for long hours during peak times of the year.
  • Ability to use mature personal judgement to manage conflicting priorities.
  • Adaptable to a flexible work schedule including some evenings and weekends.
