Position Title: Competition Coordinator

Reports to: Director of Competition

Supervises: Seasonal Employees as needed

Status: Full-time; Salary (Exempt)

Location: Remote Work within Pacific Northwest boundaries

Are you a great a team player, organizer, coordinator, and as importantly, a responsive and successful communicator both internally and externally with players, parents, coaches, clubs, facilities, and other tennis enthusiasts and partners?

The Pacific Northwest Section of the US Tennis Association (USTA PNW) is a 501(c)3 not-for profit organization looking for a Competition Coordinator to implement and support global strategies for its Competition Department, to incorporate resources from all levels local, section, and USTA National, and to coordinate and execute against project plans at the implementation level.  This position reports to the Director of Competition.  Although the qualification listed are ideal, USTA PNW will train the ideal candidate.

The Competition Coordinator will represent the Competition Department of USTA PNW, helping to grow the game of tennis by focusing on competitive play offerings throughout the section.

MAJOR DUTIES

Junior and Adult Tournaments; Player Development; Net Generation PlayTracker and Junior Circuit:

  • Represent the PNW section by serving as primary point-person for communications, rules and regulations, compliance, and resource-allocation inquiries, needs, and educational opportunities.
  • Recruit facilities and Tournament Directors to run USTA Sanctioned and Non-Sanctioned Tournaments and Junior Circuit events through Serve Tennis.
  • Process Tournament and Junior Circuit Applications Forms Ensuring all USTA and USTA PNW Tournament Regulations are Adhered to.
  • Monitor compliance and support high quality delivery of Junior Tournaments, Adult Tournaments, and Junior Circuit events at the local and section levels.
  • Address all Adult Tournament, Junior Tournament, Player Development, Net Generation PlayTracker, and Junior Circuit inquiries from players, parents, coaches, and general public.
  • Train Tournament and Junior Circuit Directors and be available to help with administrative Functions as Needed
  • Host Player, Parent, and Coach Education Workshops as well as provide a forum for Q&A.
  • Serve as point-of-contact in order to educate the community about rules and regulations at all levels – particularly as determined at the National level – as well as policies and procedures for administrative deliverables including standings, rankings, tournament processing, sanctioning, team selection, and communicating updates and changes to stakeholders, including impacted clubs and facilities.
  • Assist with USTA PNW operated events including, but not limited to: Junior Sectionals, NTRP Sectionals, and Age Division/Open Sectionals, Junior Team Tennis Sectionals.
  • Coordinate and monitor the delivery of high-quality player trainings as directed by USTA National including but not limited to Team USA Camps, Early Development Camps, and Competitive Training Centers.
  • Coordinate logistics, deliver against project plans, and assess quality of National and Team Exchanges including but not limited to Zonals, Inter-sectionals, National Teams, 10U/Pacific Coast, and Pacific Cup Team.
  • Interface with RecTennis division to determine best way to attract and convert participants when appropriate.
  • Represent USTA PNW at events, conferences, and meetings as needed.
  • Other Adult and Junior Tournament related duties as assigned by Director of Competition.

Junior Team Tennis

  • Pro-actively recruit new and returning players for USTA Junior Team Tennis.
  • Work with Director of Competition to seek new venues for USTA Junior Team Tennis play.
  • Mentor new captains and teams.
  • Partner with facilities on availability and home court assignments.
  • Schedule and publish all local USTA Junior Team Tennis matches in TennisLink.
  • Address all Junior Team Tennis inquiries from players, parents, coaches, and general public.
  • Assist with Junior Team Tennis Sectionals.
  • Represent USTA PNW at events, conferences, and meetings as needed.
  • Other Junior Team Tennis related duties as assigned by Director of Competition.

SUPERVISORY RESPOSIBILITIES: Will oversee and direct Seasonal Tournament Desk Associates or Junior Team Tennis event volunteers as needed.

INTERNAL RELATIONSHIPS: The Competition Coordinator will work with the USTA PNW Section staff.

EXTERNAL RELATIONSHIPS: The Competition Coordinator will work with, USTA National staff, volunteers, facilities, tournament directors, outside vendors, partners, parents, players, coaches and the general public.

TRAVEL DEMANDS: Some travel across the Pacific NW to promote Junior and Adult Tournaments, Junior Circuit, and Junior Team Tennis; recruit new players and work with tennis facilities; attend various events, meetings, and trainings, as needed.

KEY PERFORMANCE INDICATORS: When reviewing this position during the year, the following will serve as performance indicators:

  • Mid-year and Annual Reviews performed by Supervisor.
  • Achievement of specific objectives for areas of responsibility, which may include:
  • Number of USTA sanctioned and non-sanctioned tournaments
  • Number of USTA Junior Circuit events
  • Total Tournament and Net Generation PlayTracker Participation
  • Number of registered USTA Junior Team Tennis players
  • Feedback from providers/facilities
  • Evidence of performance of major duties.
  • Evident of performance as a productive team member.
  • Evidence of effective internal and external relationships.
  • Evidence of delivering the USTA PNW mission.

QUALIFICATIONS

  • Bachelor’s Degree or equivalent experience
  • Proven strong organizational skills
  • Proven strong communication skills
  • Demonstrated ability of strong multitasking skills
  • Ability to follow strict rules and regulations
  • Knowledge of Pacific Northwest preferred
  • Knowledge of listed USTA Programs & Services preferred, but USTA will train as needed
  • Strong computer skills
  • Ability to work well with others
  • Ability to work independently
  • Availability to work frequent evening and weekend hours
  • Reliable transportation and valid driver’s license

CONDITIONS OF HIRE

  • Must have the ability to continually pass a background check.

PHYSICAL REQUIREMENTS + WORK ENVIRONMENT

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  • This position will work out of a home office within Oregon, Alaska, Washington, or Northern Idaho. Expectations assigned by Director of Competition.
  • While performing the duties of this job, the employee is regularly required to talk, speak or hear. The employee frequently is required to move around; use hands to finger, handle or feel; and reach with hands and arms.
  • This position requires the ability to occasionally lift office products and supplies, up to 50 pounds.
  • The ability to work in extreme weather and indoor/outdoor conditions as needed for events.

  • Compensation commensurate with experience.
