Planned Parenthood of Southwest & Central Florida (PPSWCF) is seeking a Chief of Staff to work directly with the CEO and Executive Leadership team on achieving the aspirations of our organization.

We are seeking a confident leader who knows how to effectively influence others to achieve the critical goals of PPSWCF.

The perfect person for this job is a creative problem solver with excellent project management skills and who is comfortable designing and managing cross functional teams.

This position is part of the Executive Leadership Team and directly oversees strategic and operational planning as well as executive administrative operations.

DESCRIPTION OF DUTIES

The Chief of Staff provides strategic counsel and support to the President and CEO and creates cross-departmental relationships to enable organizational success. As a member of the Executive Leadership Team, this role coordinates and manages the essential activities of the organization, including strategic planning and annual business planning, to ensure the organization continues progress towards achieving its goals. The Chief of Staff partners with the President and CEO; Board Chair; and Executive Assistant to the Board of Directors to manage the activities of the Board of Directors, including managing Board meetings, Committee meetings, Board orientation, and all Board affairs.

ESSENTIAL DUTIES

Office of the President and CEO

Works with the President and CEO to set strategic priorities and develop systems of accountability throughout the organization

Supports the President and CEO in identifying where they must direct their focus, identifies metrics for success, and creates and maintains tools to keep strategic priorities on track. Revisits regularly, evaluates progress, and advises President and CEO on proposed or necessary changes.

Oversees and manages the staff of the Office of the President (OotP). Directs the work of the Executive Administrative Assistants and manages the capacity and time allocation of OotP staff to ensure equitable support that aligns with organizational priorities. Provides critical support to functional areas that dotted-line report to the President and CEO.

Strategically manages the President and CEO’s time by working with the Executive Administrative Assistant team to optimize the President and CEO’s schedule. Facilitates planning for events and travel, handles high level and sensitive correspondence, and evaluates requests and opportunities to determine fit with identified priorities.

Plans and/or reviews upcoming meetings to ensure all necessary information is at hand; collects, edits, and distributes agenda and documents to meeting attendees as appropriate. Facilitates meetings to ensure time is well spent and objectives are achieved.

Manages critical information and communication flow; ensures key information is prioritized for the President and CEO. Serves as a first resource and point of contact for staff questions regarding priorities and organizational initiatives.

Informs and keeps the President and CEO updated on any activity, news, legal regulations, or media regarding the advancement or risk to the organization’s mission

Manages internal and external communications originating from the President and CEO’s office; develops and/or edits messaging for the President and CEO on various topics to diverse audiences using the appropriate vehicle

Project Management and Strategic Planning

Oversees Project Management for the organization; sponsors, leads, and advises on high-level and strategic projects

Brings together multiple stakeholders to drive decisions and strategic improvements

Manages the portfolio of projects and initiatives for the organization, tracks and manages capacity of staff working on projects, and ensures all projects and initiatives across the organization stay on time and on budget

Works with Board and staff leadership to develop the strategic plan; creates and manages monitoring and reporting tools for the plan and ensures continued progress towards identified outcomes

Creates systems and processes to streamline organization administration and project planning

Board Affairs

Oversees Board Affairs in partnership with the Board Chair, President and CEO, and Executive Assistant to the Board of Directors.

Works with Board Chair, Committee Chairs, President and CEO, and staff leadership to set agendas, prepare pre-reads, and develop meeting materials

Facilitates Board and Committee meetings as needed; works with Board Chair and President and CEO to keep meetings on time while ensuring critical information is covered

Manages external affairs on behalf of the Board Chair and President and CEO

Serves as a surrogate for the President and CEO on Committee meetings as assigned and necessary; represents the President and CEO’s point of view and communicates critical information from the President and CEO in their absence

QUALIFICATIONS

Ability to perform the duties described above. A typical means of acquiring those abilities would be:

10 or more years in a leadership role (examples: operations, strategic planning, project planning, etc.)

Salary Range Disclaimer The base salary range represents the low and high end of the Indeed salary range for this position. Actual salaries will vary and may be above or below the range based on factors including but not limited to location, experience, and performance. The range listed is just one component of PPSWCF’s total compensation package for employees.

Salary Range:  $115,000 to $140,000
