Full-Time Billing Coordinator

Job Description

The Role:

As the Billing Coordinator, you will lead the day to day operations of the billing department. This includes working closely with the Fulfillment Team to create and submit invoices to clients and with account managers to prepare invoices for renewing customers.

You will also serve as an advocate for dmarcian’s customers. In this capacity, you will field questions from potential and current customers as well as internal team mates to resolve billing issues with brevity and timeliness. 

At dmarcian, we believe that everyone can help build better processes. You will participate in our internal product development framework, representing the customer’s point of view as well as Billing’s interests and involvement to ensure ideas and concerns are captured, resolved and improved.

The Responsibilities

  • Handle multiple time-sensitive tasks coming from the Fulfillment Team, Controller, Operations,  Account managers, and customers
  • Review purchase orders for accuracy and client invoicing procedures, ensure CRM information is complete and accurate, QA automated invoices for accuracy
  • Complete vendor forms to establish and manage payment portals for clients
  • Run multiple monthly reports to capture and present operational metrics
  • Oversee the Billing queue and prioritize work in a professional manner
  • Routinely communicate summaries of billing concerns that arise to leadership to improve operational procedures.

We are looking for people who:

  • Prove to be intrinsically motivated and organized
  • Can follow written and verbal directions
  • Can communicate effectively and succinctly with proper grammar and a professional business tone 
  • Possess previous invoicing, report generation or financial background 
  • Maintain a high standard of ethics, including familiarity with PII ethics through GDPR and/or HIPAA
  • Work comfortably within multiple computer programs including, but not limited to, Help Scout, Xero, Pipedrive, Chargebee, Panda Docs, Google Suite, 3rd party invoicing sites, Slack, etc.
