Department Summary:

Position Summary:

The Assistant Director, Evening Manager is responsible for overseeing, managing and coordinating the day to day operations of the evening custodial and trades shops and providing support to FM management. This position is the highest-ranking administrative position during the evening shift.

This position provides a welcoming and inclusive environment by providing customer service to a diverse campus community of employees and students. Working with diverse students, parents, faculty, staff, and other involved parties by providing the highest level of student facing front-line customer service. We dedicate each day to student success and retention, as well as equity, diversity, and inclusion.

Schedule: 2:00 p.m. to 10:00 p.m.

Monday – Friday (with Saturdays and Sunday as days off).

(Subject to Change).

SUPERVISION RECEIVED: Reports to both the Associate Director, Trades Manager and the Associate Director of Building and Grounds.

SUPERVISION EXERCISED: Direct supervision of subordinate unit, non-unit classified and student employees, Indirect supervision of customer service staff and supervisors.

This position is an exempt, APA unit position and is subject to the terms of that union agreement.

Essential Duties:

CORE DUTIES:

1. Manage and coordinate evening trades employees and shops (carpentry, custodial, locksmith, paint shop, plumbing, HVAC, electrical and general trades workers) to prioritize and expedite the completion of the daily work order process. Follow-up on clarification and interpretation as needed to eliminate back log.2. Assures customer satisfaction on all work done by in-house staff or outside contractors.3. As the highest-ranking administrative representative on the evening shift, responsible for making decisions on any operational, emergency, departmental, personnel, budgetary, etc. situation that may arise.4. Evaluate subordinate employees, approve SSTA, approve and process leave request, approve and distribute overtime, participate in the recruitment and selection process, and counsel and discipline staff as needed.5. Develops and reviews project request forms as required for major repairs, renovations, and remodeling on the BSU Campus. Manage projects as needed. Completes all forms needed, to include an estimated budget and schedule for each project. Maintain registry of requests.6. Pro-card authority to purchase supplies and equipment needed for routine/emergency maintenance and repair. Autonomy to distribute and approve overtime for trades, custodial and/or customer service if/when needed.7. Coordinates and schedules outside contractors and BSU trade shops.8. Writes specifications for the purpose of obtaining bids for a product or service.9. Coordinates campus kitchen and dining repairs.10. Develops punch list of incomplete or unsatisfactory work by a contractor and/or in-house trades associated with a service or product. Works with the contractor and/or in-house trades to resolve issues related to the punch list and to the satisfaction of Facilities Management Department.11. Works with other campus offices and departments for needed repairs and emergencies (discovered or dispatched via University Police) and coordination and completion of planned projects.12. Work with Central Receiving to maintaining inventory levels and inventory cycle counts.13. Works with Department of Public Safety and other Facilities Management staff to resolve issues related to inspections of University buildings.14. Develops weekly status reports on all projects, operation and maintenance.15. Maintain CMMS program, prepare reports as directed, correct backlog, maintain PM program, and work with trade staff to bring stateside work orders to under 14 days and all resident hall work orders to 24-48 hours.16. Makes assessments of improvement needs to existing building space, maintains deferred maintenance file, and develops and maintains preventative maintenance program.17. Works collaboratively with other Facilities Management administration to meet collective goals and objectives. Attend and participate in leadership meetings.18. Management of the departmental lock-out, tag-out procedures, protocols and nomenclatures.19. Be available on-call, 24 hours a day to respond to emergencies and determine support as needed. Participate in the “manager on-call” rotation list for any physical plant issues that may arise on weeknights and weekends. Smart phone provided.20. Assume other duties as assigned. OTHER DUTIES:1. Responds to and coordinates response to facilities emergency situations and problems during regular shifts, weekends and holidays.2. Represent the Associate Director and/or department at meetings and on committees as assigned.3. Assist with projects and initiatives as assigned by the Director or Associate Directors of Facilities Management.4. Participate in divisional committees, task forces and projects as assigned by the Associate Director and/or Director of Facilities Management.5. Attend all staff meetings and professional development sessions as determined by Facilities Management and/or the Division of Operations.6. Support and attend University events and programs.7. Provide written reports (i.e. monthly reports, assessment reports and end of the year reports) and summaries as requested by Facilities Management and/or the Division of Operations.8. Other duties as assigned.

Required Qualifications:

• Construction Supervisors License or trades related license desired. EFP/CEFP certification a plus.

• A minimum 3 years of experience working hands on in the facilities management and/or construction field.

• Demonstrated experience in facilities management and proven ability in supervising skilled trades shop personnel (experience working in a unionized environment preferred).

• Knowledge of trades related to management and maintenance of buildings and building systems (i.e. plumbing, electrical, HVAC, carpentry, painting, etc.)

• Proven experience managing and developing operating and construction budgets.

• Working knowledge of computer software systems (i.e., Microsoft Office products, School Dude, etc.).

• Proven ability to create reports, document needs and assessments, communicate effectively and collaboratively.

Preferred Qualifications:

• Bachelor’s degree in management or related degree or completion of a technical degree from a Technical or Vocational school.
