Title: Admission Assistant 

Reports to: Director of Enrollment Management

FTE: .75, Academic Year

Rate of Pay: $22.00 – $25.25/Hour DOE

When Needed: Immediately

Job Summary:

Under general supervision, works collaboratively with the Director of Enrollment Management and the Admission Office to create a warm and welcoming office and to ensure that the application and on-boarding process is a positive experience for students and their families.

Specific Responsibilities:

  • Manages online applications through Ravenna ADMIT, our admission collection database, and oversees applicant data within Ravenna including tagging, processing materials and sending receipt of notification to applicants
  • Works with the Registrar on reenrollment by processing contracts and corresponding with families
  • Creates current grade level composites to aide in the decision making for Admission Decision Teams
  • Creates and updates permanent student files for new students
  • Sends out various admission surveys throughout the year, including Open House, Admission Season Overview, First Year and Withdrawal surveys Also compiles data from survey responses
  • Processes withdrawal information and follows up
  • Creates a warm and welcoming environment within the Admission Office and works to ensure that the application process is a positive experience for students and their families by doing the following:
    1. Greets parents, guardians, and students and responds to inquiries about the school
    2. Fields inquiry calls and emails and responds in a timely manner
    3. Oversees decision processing and notifications on paper and in Ravenna
    4. Assists with scheduling of parent tours and prepares online applicant files for admission teams
    5. Assists with the planning and support of student visit days: taking applicant pictures, interviewing applicants, printing nametags, etc.
    6. Attends and supports all admission outreach events such as open houses, school fairs, coffee chats and New Family Orientation
    7. Supports admission decision team meetings by recording admission decisions, takes notes, provides data and ensuring any needed follow up occurs
    8. Assists with creating admission decision packets for admitted students
  • Vigorously engages in his/her own professional development; is a life-long learner who enhances his/her skills, using state-of-the-art technologies to maintain high standards of performance to efficiently and effectively produce work products
  • Is familiar with and complies with all policies and regulations as put forth in the school’s documents
  • Since safety and security are everyone’s responsibility, takes all necessary and reasonable precautions to protect students, faculty, staff, equipment, materials and facilities
  • Performs other duties as assigned

Required Education & Experience:

  • Bachelor’s degree from a four-year college or university required
  • 1-year experience in office administration required
  • Knowledge of Microsoft excel and google drive/sheets/docs preferred

Required Knowledge, Skills & Abilities:

  • Ability to work well with a team remotely when needed
  • Ability to work comfortably remotely on online platforms as needed
  • Excellent verbal and written communication skills
  • Strong analytical skills
  • Strong attention to detail
  • Ability to work and communicate well with all levels of faculty and staff
  • Ability to work and communicate well with students and their parents
  • Ability to maintain confidential information
  • Flexibility, maturity and a sense of humor
  • Proficient at working in a Microsoft Windows environment (Windows 7 or higher), using Office (version 2010 or higher), including Outlook; proficient at working with database systems for record keeping, including insert, import, query, data standards, and reporting; ability to confidently learn new technologies; Experience with school-focused technology is a plus
  • Ability to talk on the phone
  • Ability to sit and keyboard up to 8 hours per day
