Job Description
Job Responsibilities
- Ensures attorney timesheets are entered, proofread, and released in accordance with deadlines.
- Performs time edits as needed for attorneys.
- Performs scan projects for Legal Administrative Assistants (LAA) utilizing firm software.
- Profiles and uploads documents in the document management system, and as appropriate, organizes paper copies in files.
- Inputs invoices and expense reports in Chrome River for processing.
- Provides calendaring assistance to LAAs as needed.
- Profiles and uploads documents in the Firm’s electronic document management system, and files paper copies as appropriate.
- Prepares FedEx and US Postal mailings for legal administrative assistants.
- Produces, edits, and formats correspondence, memoranda, reports, and other legal documents utilizing computers, transcription equipment, and other office equipment.
- Assists attorneys and legal administrative assistants with specialized tasks and projects.
- Shares overflow responsibility in document management, filing, photocopying, scanning, or other administrative duties as time permits and as requested by the Practice Support Team Coordinators. Assists Legal Administrative Assistants and other Administrative Support Assistants with their workload in a team environment.
- Provides assistance and support in an administrative capacity to other departments or functions as needed.
Job Requirements
- Must type at least forty (40) wpm.
- Must possess an intermediate level of knowledge of Microsoft Office suite to include Word, Excel, and Outlook, and willingness to learn new technology.
- Must possess a high level of professionalism and interpersonal skills so as to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence. Required to use tact and diplomacy when dealing with others.
- Must have the ability to read, write and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone.
- Must possess attention to detail, ability to balance multiple projects, and strong time management skills.
- Must have the ability to reason and apply common-sense understanding to situations encountered.
- Must have the ability to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above-average critical thinking skills.
- Ability to work overtime as needed. The physical demands of this position are representative of those that must be met by an employee in order for him or her to successfully perform the essential functions of the position. These include being both mobile and stationary throughout the workday and having the ability to transport twenty-five (25) pounds and being able to operate a computer and other business equipment found in the office.
