LEAP4MCG is a collaborative hiring initiative between the Office of Human Resources and the Department of Health and Human Services to create positions that are only eligible to qualified individuals with a disability. This recruitment is for an Administrative Specialist I position detailed to the Department of General Services.

This is a two-year term position with eligibility for benefits and retirement.  At the end of the term, employment with Montgomery County Government will conclude, unless hired into another County position prior to the conclusion of the term.

  1. Be a person with a disability who meets the eligibility criteria for certification by the Maryland Department of Rehabilitation or equivalent out-of-state agency
  2. Have been certified by the Maryland Department of Education Division of Rehabilitation Services or by an equivalent out-of-state vocational rehabilitation agency as meeting the definition of disability based upon medical evidence
  3. Meet the minimum requirements for the position and be able to perform the essential functions of the job with or without reasonable accommodation
  4. May only be used for an initial Montgomery County Government merit/term position

About the position:

Through the LEAP4MCG hiring initiative, an Administrative Specialist I position has been created and will be detailed to the Department of General Services, Division of Facilities Management (DFM). This Administrative Specialist will be part of the team that supports the processing of invoices from ORACLE eBusiness and Work Order System. The Division of Facilities Management (DFM) delivers operational and mission critical services 24/7 on behalf of County Residents and Montgomery County Government. This position is responsible for providing administrative, fiscal, technical, and analytical support of the Fiscal Service Unit and for improving the customer service experience with DFM services.  This includes ensuring work to support County Facilities is scheduled, payments are tracked and charged to the appropriate agency.

What you will be doing:

  • Planning, implementing and monitoring the DFM business process
  • Assist in the preparation of annual budgets, contract development/monitoring and customer contact
  • Processing and Tracking invoice payments, chargebacks and journal entries
  • Provide analysis and resolution on issues related to POs/DPOs and invoice payments
  • Monitor and reconcile invoices against work orders
  • Monitor and track inventory accounts against encumbered funds
  • Organize and maintain statistical, inventory, purchasing and other records
  • Provide administrative support to the Division
  • Respond to inquiries in writing
  • Create requisition requests for procurement approval
  • Monitor and follow up with other staff involved in the procurement process
  • Resolve problems and questions
  • Receive, investigate, and resolve complaints
  • Review and respond to written inquires
