Full-Time Administrative Coordinator (Science and Conservation) (Full-Time, Regular)

Job Description

We are seeking to hire a full-time bi-lingual Administrative Coordinator to join the science and conservation team at the Nat. The position provides support to the Vice President of Science and Conservation and assists in coordinating the daily operations of the science departments in the Biodiversity Research Center of the Californias (BRCC).

BRCC is the research arm of the Museum and focuses on researching, understanding, and conserving the biodiversity of Southern California and the peninsula of Baja California. Through contemporary fieldwork coupled with our collections of over 8 million specimens, we study the diversity, ecology, and evolution of life. BRCC is home to about 50 part- and full-time staff that are a passionate and fun-loving bunch.

The incumbent must be organized, efficient, flexible, and discrete. The position entails performing multiple organizational and social tasks often interacting with a wide variety of internal and external stakeholders. This position must use judgment and discretion in prioritizing and communicating information and making decisions. The ideal candidate will be bi-lingual, highly organized, good at multi-tasking, easy-going with a great sense of humor. Day to day activities will include general administrative duties such as:
  • Managing, directing, and sometimes responding to customer service and public relations issues for BRCC, including coordinating meetings and communications with both internal and external stakeholders
  • Assisting with accounting functions including, but not limited to, coordinating purchasing, inventory control, payment requests, and reimbursements
  • Assisting the VP in the management and prioritization of e-mail, and calendar maintenance
  • Coordinating timing and location of regular and ad hoc meetings, including assisting with agenda development, notetaking, and tracking of progress on post-meeting action items
  • Assisting with project reporting and budget tracking
  • Serving as a liaison with other internal departments as appropriate (ex. Accounting, HR, Marketing) to facilitate the day-to-day activities of the division
  • Coordinating BRCC-wide internal reporting
  • Facilitating the logistics of regular internal science seminars
  • Coordinating travel arrangements for science division, travel is often international and requires attention to internal and external procedures to ensure travelers are properly insured and equipped for travel
  • Sometimes coordinating special projects/events and other science activities as requested by the VP
Skills and Qualifications:
  • Excellent command / highly proficient in spoken and written English and Spanish
  • At least 3 years of experience in a similar job, including process management, reporting, and writing
  • Excellent organizational capabilities, including the ability to set up processes, systems, and workflow to ensure adherence to procedures and follow-up
  • Demonstrated commitment to diversity and ability to effectively work with a diverse range of people
  • Highly proactive; motivated, with a positive personality and excellent follow-through
  • Proven team player with good communication skills and customer service skills who is approachable, responsive, trustworthy, professional, and positive
  • Working knowledge of appropriate software, especially Microsoft Word, Excel, and Outlook, Teams, SharePoint, as well as Adobe Acrobat
  • Experience with accounting systems (i.e., Intacct) is preferred but not required.
  • Academic or avocational experience in natural history is preferred.

Compensation: dependent on experience, starting pay will range from $20-$24/hr.

This position is eligible for benefits such as health insurance, vacation, 15 paid holidays, free admission into all of Balboa Park’s museums as well as free admission to the San Diego Zoo and Safari Park.
