Department Summary:

The mission of the employment team in the Division of Human Resources and Talent Management is to establish diversity, inclusion and equity strategies that attract and retain a diverse and talented workforce at all levels at the university and foster relationships with partners to build a diverse talent pipeline.

Position Summary:

The Recruitment Assistant will provide administrative support to the recruitment function with a focus on temporary hiring. The Recruitment Assistant provides resources and consultation to managers on job-related information regarding temporary positions including equity minded language in position descriptions, recommending compensation, full cycle recruitment process and facilitate new hire process. This position will also provide administrative support to employment services and benefits when needed.

Successful candidates will be an individual that can work with their colleagues to help meet the mission of the Human Resources and Talent Management team in serving and supporting our racially and ethnically diverse campus community.

Monday – Friday (with Saturday and Sunday as days off).

Essential Duties:

• Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful University community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students, retirees, vendors and visitors. Promote a flexible, collaborative and inclusive work environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion

• Provide customer service assistance for the recruitment function, assist applicants with the applicant tracking system, answer general inquiries, answer telephones, manage filing, and draft correspondence.

• Coordinate and process all aspects of part-time staff and part-time faculty temporary hires from position creation to job posting. Verify information on position requests, monitor position for approval, and generate appropriate correspondence to ensure an effective process.

• Coordinate the hiring and onboarding process for temporary employees including applicants, hiring proposals, offer letter generation and distribution, processing background checks and initiation of new hire paperwork.

• Educate and support hiring managers in the hiring process, policies, and navigation of BSU’s applicant tracking system (PeopleAdmin).

• Assist applicants and managers with technical support and password resets in the University’s applicant tracking system (PeopleAdmin).

• Attend Job/Career Fairs and other recruitment strategies to actively build a diverse talent pipeline.

• Distribute and process annual and probationary evaluations for AFSCME, APA, and excluded staff.

• Create necessary reports in regards to recruitment, hiring and performance evaluations.

• Provide back-up support for Unemployment questionnaire claims, complete paperwork.

• Complete necessary background check for Minors on Campus and approved student internships or placements.

• Provide administrative assistance to benefits function during peak periods including assistance on entering and tracking benefits data and creating reports.

• Correspond or forward emails to general recruitment mailbox.

• Provide administrative assistance and coverage to Human Resource & Talent Management front desk.

• Performs other duties as assigned.

Required Qualifications:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.

II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Salary Range: $1,707.31 bi-weekly (Grade 15, Step 1)
