Full-Time Administrative Assistant for Psychology Department

Job Description

Purpose: As a support function for the Psychology Department, the individual will perform administrative and clerical duties using specific knowledge of medical terminology, as well as provide compassionate care to our patients. The individual will be the face of the Psychology department, providing a warm welcome to our patients.

Reports to: Director of Integrative Medicine
Direct reports: none
FLSA status: Non-Exempt

Responsibilities:
● General support of Psychology department
● Greet and acknowledge all patients according to agency standards
● Speak with others using clear, professional, and polite language
● Develop and maintain positive working relationships with others, support the ACG team to reach common goal
● Overall office management of 921 Chester Pike—monitor and control patient flow, order supplies, track transportation passes and gift cards, etc.
● Management of patient and trainee records
● Maintain collaborative and friendly work environment
● Assist with chart audits by external bodies
● Assist with department CQI
● Ensure that all donations are neatly organized and accessible to patients
● Schedule Uber rides via Uber Health, per therapists’ and treatment teams’ requests
● Answer all telephone calls and take comprehensive messages. Ensure timely receipt of these messages. In the case of an emergency, notify the recipient of this message immediately
● Assist with new staff orientation, including July 1 start of new trainee cycle
● Work with Directors of Psychology Residency and Internship to assist with administrative tasks
● Assist with website maintenance
● Advertise the residency program to diverse populations
● Collection and maintenance of psychologist, intern, and resident files
● Track training completion certificates
● Participate as needed in special department projects
● Responsible for keeping the waiting area clean
● Other duties as assigned

Requirements/ Qualifications:
● High School Diploma (or GED equivalent with skills in general office practice)
● Prior medical or psychology office experience preferred
● A working knowledge of the community and the ability to link clients to services in the community when necessary
● Must be able to comfortably work with people from all diverse backgrounds
● Should possess superior organization skills and the ability to prioritize

● Active Learning – Understanding the implications of new information for both current and future problem-solving and decision-making
● Active Listening – Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times

● Writing – Communicating effectively in writing as appropriate for the needs of the audience
● Ability to use computers, keyboards and mouse to enter, access, or retrieve data
● Ability to use photocopiers and scanners
● Experience with electronic databases and electronic health records preferred
● Experience with/knowledge of Ryan White Program preferred, but not required

Work Conditions:
● Primarily stationary position
● Exposed to hazards of office such as file cabinet drawers, desk drawers, boxes being delivered that may need to be moved and or picked up.
● Subject to paper cuts.
● Occasional stooping, reaching, bending, kneeling, crouching.
● Occasional lifting of equipment or supplies (up to 50lbs).
● Handle emergency or crisis situations.
● While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to stand, walk, use hands to finger, handle or fell, and reach with arms and hands.
● May be exposed to diseases and infections
