Your opportunity at a glance: 
The WSLCB Finance Division is announcing an exciting opportunity for an Administrative Assistant 5 position in Olympia, WA. This position supports and contributes to the LCB Mission, Goals, Values as the Finance Division’s Administrative Assistant by providing administrative support to the Chief Financial Officer and Finance Division staff. This position is accountable for Finance Division budget for supplies and services. Serves as the division office coordinator, travel coordinator, payroll administrator, human resource coordinator, and training and asset coordinator. In addition this position establishes and maintains good working relationships with management, colleagues, staff from other agencies, stakeholders and general public.

Duties

Some of the duties you will perform are: 

  • Provides administrative support to the CFO and Finance staff, which includes the Budget, Operational Support, General Accounting, Tax & Fee and Public Records.
  • Manages CFO’s calendar, schedules and coordinates internal and external meetings with stakeholders and agency partners, handling meeting logistics, preparing agenda and meeting materials/presentations, capturing action items, tracking staff assignments and monitoring progress, setting up audiovisual equipment, and recording meeting minutes.
  • Provides supervision to Finance division AA2.
  • Allocates workload to ensure division-wide administrative coverage.
  • Provides training on assigned tasks as appropriate.
  • Purchases, organizes and maintains inventories, and tracks office equipment/supplies and other division assets.
  • Monitors and is accountable for Finance Division budget for supplies and services.
  • Manages Finance Division office area facilities including coordinating space planning, work orders, purchasing, ITS services and ergonomic assessment requests.
  • Coordinates all travel for division staff including travel authorizations, reservations and preparing travel expense vouchers ensuring compliance with current policies/procedures.
  • Reminds managers/supervisors prior to the end of each pay period to submit their staff’s time sheets and ensures all time sheets are accurate.
  • Coordinate onboarding and separation of all division staff ensuring checklists are completed and follows up with managers/supervisors for any outstanding items.
  • Tracks division staff’s core training requirements to ensure division is in compliance with RCW, WAC, SAAM, federal and agency policies.
  • Other duties as assigned..

 

Qualifications

Required Qualifications:

  • One year as an Administrative Assistant 4

OR

  • Two (2) years as an Administrative Assistant 3

 OR

  • Bachelor’s degree in business administration or closely allied field AND three (3) years of administrative or supervisor experience.
  • Additional qualifying experience may substitute for education on a year-for-year basis.
  • Graduate study may substitute for up to two years of experience on a year-for-year basis.

Preferred/Desired Qualifications:

  • Bachelor’s Degree
  • Knowledge of government organization and administrative procedures; office methods and procedures; research and data collections; agency policies and procedures.
  • Ability to:
    • write and speak effectively;
    • establish and maintain cooperative relations with others.
