Your opportunity at a glance:

The WSLCB Enforcement and Education Division is announcing an exciting opportunity for an Administrative Assistant 3 project position in Olympia, WAThis position reports to the Enforcement and Education Project Manager. It is expected to last until June 30th, 2025, until the project is completed, or until funding is exhausted.

 

The Enforcement and Education Division is comprised of seven major units which are Headquarters/Director’s Office, Retail Liquor, Non-Retail Liquor, Cannabis, Tobacco Tax, Vapor Products, and FDA Tobacco. The personnel of this Division carry out their duties with the highest standards of personal and professional ethics based on honesty, integrity, and trust. Every individual who encounters a division employee is treated with the highest level of courtesy and respect.

This position serves as a liaison between the supervisor and other staff members, relaying assignments and requesting status information. The incumbent will report to the Enforcement and Education Division’s Project Manager. Under general direction, this position provides and coordinates administrative support functions for the Project Manager and the SMP/LEEADS Phase 3 business team. They also prepare confidential documents, establishes priorities, and use independent judgment to accomplish assignments or solve problems.

 

This position will be responsible for developing work methods that provide support for their assigned division projects including using MS Office programs for tracking project progress, scheduling meetings, taking minutes, and completing other assigned tasks and/or projects.

Duties

Some of the duties you will perform are: 

  • Represents business project leadership for Phase 3 of the SMP/LEEADS project.
  • Provide administrative support to the SMP Phase 3 business project team.
  • Coordinates and/or completes the preparation of project documents such as tracking, status updates, purchasing, budget, and event coordination.
  • Responsible for records management, including organized storage of project artifacts.
  • Assists in the preparation of PowerPoint presentations for project leadership. Assists in the development of visual aids, or other materials.
  • Schedules, and conducts presentations and/or training. Issues news releases or updates on the project.
  • Provides responsive customer service to internal and external customers effectively. Keeps all information and actions regarding the WSLCB and our customers confidential if required.
  • Provides administrative support to the Enforcement and Education Project Manager. Provides secretarial support to supervisor; coordinates office operations, keeps supervisor’s calendar, makes travel arrangements, screen, prioritizes and distributes mail, transcribes minutes, screens calls and visitors.
  • Coordinates and/or completes the preparation of assigned project documents such as tracking, status updates, purchasing, budget, and event coordination.
  • Responsible for records management for assigned projects, including organized storage of project artifacts.
  • Schedule project meetings for large groups that have complex priorities using expert calendar management techniques.
  • Assists with public records requests.
  • Uses independent judgement to accomplish assignments or solve problems, and answers customer’s questions.
  • Serves as a member of the division administrative support team facilitated by the Director’s administrative assistant (AA5) with a focus on process improvement, centralized processes, and other relevant activities. Actively participates in huddles and other meetings as needed.

 

 

Qualifications

 

Required Qualifications:

Option 1:  
High School Diploma or equivalent

AND

Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.

OR

Three (3) years of experience providing support for multi-year projects and creating project documents.

 

Option 2:

An Associate’s degree or above in business administration, public administration or a closely allied field.

AND

One (1) year of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.

OR

One (1) year of experience providing support for multi-year projects and creating project documents.
