Department Summary:

Position Summary:

This position provides a welcoming and inclusive environment by managing the day to day financial operations for the University Events Office, monitor accounting procedures for compliance and ensuring accuracy of financial data and reporting.

TOUR OF DUTY: 9:00 a.m. to 5:00 p.m.

Monday – Friday (with Saturday and Sunday as days off).

This is a non-essential position.

This is an AFSCME unit position and is subject to the terms of that union agreement.

Essential Duties:

1. Assist Director with management of calendar, budgeting, forecasting expenditure trends and patterns making recommendations to control spending, policy/procedures documentation and dissemination, assist in monitoring department’s compliance with University practices; making recommendations for change in accounting procedures or operation when necessary2. Prepare/maintain financial reports including year-to-date financial spreadsheets, profit loss statements for budgets and individual programs, and payrolls; other analysis provided at request3. Manage online activity for payments and procurement using TouchNet U.Commerce and Paymentnet.com for JPMorgan; maintain records and ensure compliance for audits4. Act as departmental liaison with Student Employment for student hiring including graduate assistants; facilitate personnel updates; assist/process hiring of non-student personnel through Human Resources and Talent Management via People Admin5. Create and process Accounts Receivable through Fiscal Affairs for administrative chargebacks and externally sponsored programs using EMS 6. Manage records retention schedule for department according to Massachusetts Records Conservation Board guidelines7. Responsible for day to day financial operation of department’s administrative, convocation/commencement and self-sustaining trust fund budgets; utilize Banner Finance, Excel and EMS (Event Management System)8. Work with Fiscal Affairs to process collections of accounts receivable bad debt, includes monthly reconciliation9. Assist staff with travel process, facilitate setup for new users, assist with requests and process of reimbursements; monitor processing timelines10. Process overtime details slips requested for externally sponsored events11. Communicate backup information regarding externally funded programs to University Services used to reconcile vendor commissions for the University12. Responsible for department’s procurement processing; work with Procurement Services Buyer to research appropriate vendors and purchasing process as needed13. Maintain security of department procurement card, building master keys, and other technology equipment14. Record financial transactions in EMS including payments received and expense documentation for events15. Educate staff of upcoming policy changes; outlining possible impacts of departmental procedures16. Monitor efficiency of financial reporting and dissemination of information to department’s leadership team, as well as review of accounting procedures to ensure conformance with established requirements17. Confers with University personnel and outside agencies by phone, in writing or in person to resolve accounting discrepancies and/or obtain statistical data and documentation for various reports and/or projects18. Other duties as assigned.

Salary Range: $1,799.63 bi-weekly (Grade 16, Step 1)
