Essential Functions and Objectives:

 

The Student Records Generalist will perform all activities pertaining to student records, registration, degree audits, graduation, grades and transcripts. In addition, the SRG will be responsible in assisting the development and maintenance of the degree audit, assist in the coordination, evaluation, and certification of all graduation applications; and assist in the diploma preparation for graduating students. The SRG will assist in the understanding, enforcement, and communication of FERPA regulations to all college stakeholders, as well as communicate various policies and procedures specific to student records.

 

Conduct degree audits and evaluate transcript coursework.

Certify student graduation applications and assist in the diploma and graduation process.

Communicate with students regarding transfer and transcript issues via advisement, telephone, email and regular mail.

– Analyze course descriptions of transfer coursework and credit-for-prior learning to determine EGTC course equivalents.

– Enter transcript and transfer credit into student SIS (Top School).

– Route transfer application to appropriate departments for decisions if necessary.

–  Provide and maintain data for submission of federal, state and institutional reporting.

– Provide support for instructors and Deans regarding transferability of credits.

– Coordinate data from Career Services to complete records.

– Management and oversight of the student records module in the student information system platform.

– Attend monthly department training.

– Provide quarterly training to staff of enhancements for Students Records in Student Information System.

– Serve as Subject Matter Expert for Student Records, attend weekly call-in sessions.

– Analyze transcript discrepancy.

– Monthly data reporting.

Knowledge, Experience & Other Qualifications:

 

– One (1) to three (3) years of experience in a higher education environment.

– One (1) year of experience in auditing data, preparing reports, applying policies, and procedures related to student records and extensive in experience in spreadsheets and databases.

– One (1) to three (3) years of experience in student records or transfer credit preferred.

– Knowledge with Microsoft Office products including Word, Excel, Google Suite, and Outlook.

– Effective time management and organizational skills.

– Effective communication skills.

– Strong attention to detail.

– Effectively handle multiple demands and competing deadlines.

– The ability to take responsibility for one’s own performance.

– Work collaboratively with others on a team.

– Aptitude for variety and changing expectations and a fast-paced environment.

– Ability to maintain confidentiality of work related information and materials.

– Strong problem solving skills.

– Positive attitude, especially when under stress.

– Performs in compliance with established human resource and departmental policies regarding attendance, dress code, safety, security, disaster, and other policies, procedures, and practices.

Education Requirements:

 

– Associate’s Degree required in related field.

– Bachelor’s Degree preferred.
