Salary Range: $47,665 – $57,896

  

Essential Functions and Objectives:

Designs and manages departmental collaboration and culture building structures, including designing a yearlong plan for collaboration, managing meeting logistics, developing agendas, creating materials, implementing departmental document management, and managing on-boarding of new employees.

Provides direction to and collaborates with the financial specialist to ensure budget tracking and reconciliation, contracting and invoicing processes, and monthly payroll are completed accurately and on time.

Provides project management support, including leading assigned projects related to the operations of the department, producing status reports, developing schedules, and tracking action steps through resolution.

Maintains department website following the tools and guidelines from Communications department; manages departmental communications that support operations of the department.

 – Responsible for managing the operations of the Impact Office to ensure the smooth and efficient functioning of the department. Leads departmental collaboration and communication structures, financial tracking and reporting structures, and communication and relationship management with external stakeholders. Represents the Impact Office by providing outstanding customer service and support.

  Provides administrative support and assists in carrying out specific activities, such as: coordinating virtual and in person meetings, distribution of materials, process documentation, conducting trainings, organizes and submits reports, coordinates responses, develops procedures, and maintaining records and files.

Assesses and troubleshoots, escalates problems and interacts with stakeholders across the district to resolve problems related to area of responsibility.

Ensures appropriate key stakeholder involvement in planning, goal-setting, and implementation to achieve buy-in of work products. Ensures purposeful, positive and professional interactions and relationships with all stakeholders.

Identifies process inefficiencies and proposes solutions, identifies opportunities through external research on trends in resources, programs, and services and internal research with stakeholders, and supports improvement efforts in order to ensure smooth execution with appropriate participation and support across the district.

Proactively identifies opportunities to improve the efficiency and effectiveness of department operations and designs processes to improve quality and efficiency.

Communicates and coordinates with diverse stakeholders to establish positive relationships, problem solve issues, and provide quality customers service to departments and schools; acts as the department point of contact to handle questions and issues.

Coordinates event planning and third party visits to schools and District; supports Chief Impact Officer and department teams with meeting scheduling and communications; and manages department resources, including technology.

 

Knowledge, Experience & Other Qualifications:

Three (3) or more years of experience in business operations, project management, or finance preferred.

Knowledge of Google Suite with emphasis in Sheets, Forms, and Docs as well as Microsoft Office products including Word, Excel and Outlook.

Effective time management and organizational skills.

Effective verbal and written communication skills.

Strong attention to detail.

Effectively handles multiple demands and competing deadlines.

Ability to work with different levels of management throughout an organization and translate operational improvement and customer needs into processes and solutions.

The ability to take responsibility for one’s own performance.

Ability to collaboratively with diverse people toward common goals.

High degree of integrity in handling confidential information.

Ability to work with a degree of ambiguity in a complex, dynamic environment.

 

Education Requirements:

Bachelor’s Degree in business or related field.
