Program Assistant- Economic and Community Development

Clark College is currently accepting applications for a full-time, permanent classified Program Assistant. Under general supervision from the Director of Professional and Personal Development for Economic & Community Development, this position will provide coordination and support for community education programs including instructor support, student support, technical support, and data entry. Work hours are Monday-Friday from 8:30am-5:30pm.

Job Duties and Responsibilities:
• Work in collaboration with ECD Program Managers as the primary operations contact for instructors and students for all Open Enrollment classes.
• Serve as primary contact person for instructors, providing information regarding program policies and activities.
• Serve as liaison with HR to onboard new instructors.
• Ability to work well with people of all ages from academically, culturally, and socioeconomically diverse backgrounds.
• Request and maintain instructor supply lists, pictures and bios for class website.
• Manage preparation and distribution of all materials/handouts for classes.
• Submit quarterly textbook orders to Clark bookstore.
• Process petty cash reimbursements and monitor expenses for classes.
• Track class counts to help determine if classes run or cancel and contact instructors and students with any class changes or class cancellations.
• Administer online class surveys utilizing survey software.
• Advise instructors regarding smart room training.
• Establish and maintain instructor and course records and files.
• Compose and edit correspondence and printed materials for accuracy, appearance, and style.
• Support Pearson Vue testing center, checking in/out candidates and proctoring tests.
• Track and complete internal support requests utilizing Trello project management software.
• Perform word processing tasks such as merging and sorting and use spreadsheet and data base software to develop and maintain records.
• Perform other duties as required.

Position Requirements and Competencies:
Candidates will be evaluated based on application materials, including the supplemental questions and personal interview(s), and will be required to demonstrate competencies in the following areas:

Minimum Qualifications
• Education: high school graduation or equivalent.
• Experience: two years of full-time data entry and database support experience OR equivalent education/experience
• Customer Service: two years of customer service support working with internal and external customers.
• Writing and Editing: two years of experience documenting/editing written policies and procedures to support business processes.

Preferred Qualifications
• Experience working with adult learning programs AND/OR experience working in a business environment AND/OR an understanding of basic business concepts.
• Experience proofreading copy for printed catalogs a plus
• Computer Skills: proficiency with Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint, knowledge of Campus CE and PeopleSoft a plus.
• Communication Skills: excellent interpersonal and writing skills to effectively communicate with diverse groups and individuals.
• Organizational Skills: effectively coordinate meetings, workshops, and events to ensure smooth and efficient operation of work.
• Ability to Work Collaboratively: proven track record of working as a valued and collaborative member of the team.

Job Readiness/Working Conditions:
• The initial appointment will include a 6-month probationary period and the employee will earn permanent status after successfully completing probation.
• This position is represented by Washington Public Employees Association.
• Prior to a new hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant’s suitability and competence to perform in the position.

Salary/Benefits:
Starting Salary: $2,717/month Range: 35 Code: 107M
Benefits package includes insurance, retirement, annual and sick leave, disability, flexible spending account, and tuition waiver.
