Full-Time Theatre and Events Manager

Job Description

ArtStream offers performance opportunities to people with intellectual and developmental disabilities, (IDDs) including autism. Through performing arts training, ArtStream students practice self-advocacy skills while gaining self-confidence and independence. Skills include public speaking, listening, self-awareness, and workplace communication. ArtStream self- advocates speak on national platforms about their experiences and how the performing arts help them to lead meaningful, independent lives.

ArtStream was founded in 2005 and annually offers 40 performances by 6 Theatre Companies and 4 Cabaret Companies. There are seven full time administrative staff, 30 partner organizations, 40 volunteers, and over 50 Teaching Artists.

ArtStream’s Theatre Companies develop and perform original musicals that feature adults with IDDs. ArtStream’s Cabaret Companies feature adults with IDDs in solo and small group performances.

Summary/Objective

The Theatre and Events Manager is a multi-faceted position responsible for coordinating the productions created by Theatre and Cabaret Companies, as well as the planning and logistics for the annual fall fundraising Gala and other events throughout the year. Responsibilities include coordinating all aspects of the backstage and front of house for six Theatre companies (3 production venues) and four Cabaret Companies (2 production venues); overseeing volunteers; supervising contracted theatre staff; managing costume, prop, and scenic storage; and overseeing prop, costume, scenic and lighting budgets. The Theatre and Events Manager collaborates with the Programs Manager, Communications Manager, and the Outreach Coordinator for Student and Volunteer Engagement. The Theatre and Events Manager also develops program policies and systems and communicates regularly with families and actors.

Reports to: Executive Director

Primary Responsibilities

1. Hire and manage the contracted Production and Operations staff for Theatre and Cabaret Companies

  1. Manage all backstage technical needs for Theatre and Cabaret Companies
  2. Manage costumes, props, and scripts in partnership with Stage Managers, Directors, Costume designers, scenic artists, and script editors
  3. Oversee season timeline, check in on Teaching Artists and Designers to ensure deadlines are being hit and a cohesive show is being created
  4. Develop and manage the season calendar and venue acquisition, including site visits, contract negotiation, etc.
  5. Schedule, manage, and facilitate all production meetings, design meetings, and check-ins, ensuring deadlines are met
  6. Analyze and approve all designs submitted to determine feasibility of execution within the allotted time, money, and personnel
  7. Facilitate clear communications throughout the production process with theatre staff, teaching artists, volunteers, families, and actors
  8. Attend evening rehearsals, auditions, prop check in, three production meetings, technical rehearsals, and performances. Answer questions from teaching artists, support technical needs of Directing Team and actors.
  9. Develop working relationships with area designers, production managers, technicians, and actively scout new talent
  10. Oversee inventory and maintenance of all scenic, lighting, costume, prop, and Zoom equipment
  11. Train new Teaching Artists on Zoom
  12. Coordinate annual Gala logistics, including entertainment, set up, vendor acquisition and management, venue rental, volunteers, and cleanup with volunteer support
  13. Arrange and manage traveling troupe performances
  14. Serve as non-voting member on the Board of Directors of the Theatre Consortium of Silver Spring

Qualifications and Requirements

1. College degree or equivalent in arts administration, theatre, or a related field
2. Minimum of two years of experience in theatre production or a related field
3. Experience reading ground plans, light plots, and other theatrical specifications. Excellent computer skills and detailed knowledge of spreadsheets necessary.
4. Programs that you absolutely need to use that we can train you on: Microsoft Suite (Outlook, Teams, Sharepoint, OneDrive, etc.), Constant Contact, Kindful, Bill.com
5. Programs that would be helpful to know but are not a dealbreaker: Qlab, Audacity, Adobe Premiere Pro, Adobe After Effects
6. Exceptional organizational skills and attention to detail, including creating, monitoring, and adhering to budgets, overseeing production calendars and schedules
7. Negotiating and acting as mediator in artistic and technical discussions
8. Working knowledge of disability, accessibility, and inclusion practices preferred
9. Access to reliable transportation to attend meetings around Montgomery County and Northern Virginia
10. Able to lift 75 pounds and climb ladders on a semi-regular, as-needed basis
11. Outstanding oral and written communication skills
12. Innovative and resourceful problem-solving ability; flexible and adaptable; able to manage multiple, changing priorities and deadlines
13. Ability to promote and represent ArtStream to the public
14. Strong track record of high integrity, good judgment, confidentiality, and discretion
15. Scheduled night and weekend hours are required

Work Environment

This job operates virtually in the DMV. This role routinely uses standard office equipment and theatre production equipment, along with travel to attend rehearsals, production meetings and more than 20 theatre performances, and to load-in and out for each theatre production.

Position Type/Expected Hours of Work

This is a full-time position, and hours of work and days are Monday through Friday, 10 a.m. to 6 p.m. Flexible hours may be arranged to support evening and weekend work as required for rehearsals, production meetings, tech week, performances, and as job duties demand.

Classification: Exempt
